About Troubridge
Troubridge Capital is an independent principal investment and corporate advisory firm working with privately held businesses in Australia and New Zealand, typically with $2–10m in EBITDA. We invest our own capital to build a long-term portfolio of well-run companies, and we advise founders and owners on selling, buying and recapitalising their businesses. We take a patient, owner’s view of every business.
The role
The Executive Officer is the right hand to the partners and the operational centre of the firm. This is a step up from an executive assistant role. You'll manage the partners' time, correspondence and documents, look after finance and HR administration, and keep the firm's commitments on track across our portfolio and our client mandates.
You'll work remotely from New Zealand with a team spread across New Zealand and Australia, with working hours that regularly overlap Australian Eastern business hours (Sydney time). The role suits someone who is highly organised, discreet, commercially curious and comfortable acting on their own judgement.
What you'll do
Office of the partners
• Manage the partners' calendars, inboxes and priorities across NZ and Australian time zones
• Prepare meeting briefs and capture actions and decisions afterwards
• Book travel and accommodation, and organise client meetings, events and hospitality
• Act as first point of contact for clients, portfolio CEOs and advisers
• Handle personal administration for the partners where it frees up their time
Documents
• Create branded documents, presentations and spreadsheets, including letters, proposals, board papers and pitch materials
• Draft correspondence and follow-ups for review
• Maintain templates, file storage and electronic signing
Portfolio
• Collect monthly reporting from our portfolio CEOs, and act as a link between them and the partners
• Prepare board papers, agendas and minutes, and track actions to completion
• Support new acquisitions with document management and closing checklists
Client mandates
• Support origination of new mandates: target and referrer lists, outreach campaigns and follow-ups, introductory meetings, pitch materials and proposals
• Set up and manage data rooms, document versions and scheduling across buyers and advisers
• Coordinate engagement letters, NDAs and fee invoicing
• Keep the deal CRM and pipeline current
Finance and administration
• Manage Xero across our entities: invoices, bills, coding, bank reconciliations and chasing payments
• Process expense claims and company cards
• Prepare month-end and year-end information for our accountants
• Track contracts, subscriptions and insurance renewals
People and HR
• Coordinate recruitment, screening and interview scheduling
• Prepare offer letters, employment agreements and HR documents for review
• Run onboarding and offboarding, and keep employee and leave records current
Firm operations
• Run the weekly operating rhythm: priorities, pipeline review and action tracker
• Manage systems, software, user access and IT providers
About you
• 5+ years as a senior executive assistant, executive officer, chief of staff or in an operations role, ideally supporting founders, partners or senior executives
• Experience in professional services, financial services, investment or a corporate environment
• Working knowledge of the NZ and Australian business environments, including the basics of employment law and company administration requirements in both countries
• Experience supporting more than one senior principal at once
• Exceptional organisation and the ability to manage competing priorities without close supervision
• Clear, accurate written English
• Strong Microsoft 365 or Google Workspace skills, including Excel and PowerPoint
• Hands-on Xero experience, including invoicing, bills and bank reconciliations
• Complete discretion with confidential information
• Proven ability to work proactively in a remote team
• Availability to work hours that regularly overlap Australian Eastern business hours (Sydney time)
• The right to work in New Zealand
Nice to have
• Exposure to private equity, funds management, M&A or corporate advisory
• Experience with board papers and minutes
• Recruitment and HR administration experience
• Design skills in Canva or similar
• Experience with CRMs, data rooms and AI tools
What we offer
• NZ$90,000 – $120,000 base p.a., plus an annual bonus and KiwiSaver
• A central role in a growing firm, working directly with the partners
• Close exposure to investment decisions, portfolio companies and live transactions
• Fully remote, flexible working from anywhere in New Zealand
• Room for the role to grow with the firm
