Loop has built a dynamic work experience rooted in strong collaboration and a customer-first mentality, making Loop a special chapter in every employee’s career as we define what great looks like in our industry. Two core components of what keeps the Loop engine running and doing our best work, is the effectiveness of our CEO, and the engagement of our employee base. As Loop’s Executive Operations Manager, you’ll play a central role in shaping the day-to-day coordination of the CEO’s priority business rhythms and the experience for team members working and visiting our central collaboration space in Columbus.
At Loop, we’re intentional about the way we work so that we can do our best work. We call this our Blended Working Environment. We work from our HQ in Columbus, OH, or one of our Hub or Secluded locations, and are distributed throughout the United States, select Canadian provinces, United Kingdom, and Australia. For this role, we’re looking for someone to join us at our Columbus HQ 3 days per week.

What You'll Do: Executive Operations (60%)

  • Oversee the CEO’s core operating system, including task management, meeting preparation, and calendar/travel planning.
  • Provide the CEO with daily updates on key priorities, what they need to take action on, and what to prepare for.
  • Optimize your executive stakeholder’s time by ruthlessly prioritizing their calendars and commitments.
  • Create and manage email and LinkedIn inbox communications on behalf of your executive stakeholder that match their tone and effectively communicate their message.
  • Coordinate your executive stakeholder’s travel, understand their preferences, create clear travel documents, be proactive and available during travel, etc.
  • Sparingly support with personal assistant work.
  • Partner with senior leaders to provide administrative support for quarterly onsite sessions and Board of Directors meetings.
  • What You'll Do: Office Management (30%)

  • Manage office access, from allocating keys and parking passes to ensuring the safety and security of employees and visitors in the Columbus office.
  • Plan cultural events in the office that strengthen connections among employees and celebrate company & individual accomplishments.
  • Coordinate scheduling for 15+ annual team on-sites to ensure remote employees visiting Columbus have everything they need to run productive working sessions.
  • Oversee lease and resource coordination for the London co-working office and likely 1-2 additional co-working spaces coming to fruition in 2027.
  • Liaise with nearby hotels to keep discount programs active and manage food & beverage orders and reservations when events and office gatherings require it.
  • Manage storage and inventory of office and kitchen supplies.
  • Partner with building management on maintenance and safety compliance.
  • Maintain the cleanliness of our office space and manage the relationship with our external cleaning vendor.
  • Organize and triage physical mail delivered to our office and the off-site post office.
  • What You'll Do: Company All Hands (10%)

  • Own execution of our bi-weekly full company meeting, aligned with the company engagement strategy, including:
  • Work with presenters to confirm speaking time, readiness, and content.
  • Finalize the agenda and publish it in internal comms channels.
  • Compile information for post-meeting consumption.
  • Infuse with new ideas on how to enrich our culture with moments of celebration, education, and engagement.
  • Your Experience:

  • 5+ years as an Executive Assistant to a CEO, President, or COO in a fast-paced environment; VC-backed or high-growth SaaS experience is a strong plus. Loop is a rapidly evolving, dynamic environment, and it’s a requirement that the Executive Operations Manager has experience in a similarly paced professional setting.
  • Alternatively, comparable experience as an Executive Project Manager, Executive Communications Specialist, or similar role directly covering areas like executive operations, office management, event planning, employee engagement, or project management.
  • You’re based in Columbus, OH, and excited to go into our HQ (in the Short North) at least 3 days a week.
  • You’re passionate about helping others and making their jobs easier and more enjoyable.
  • Communication is your superpower - you should impress others with your style, thoroughness and frequency of communication through email, call, video, chat, you name it!
  • Your coworkers have described you as more organized and detailed than most others - even the smallest of details don’t pass by you. You can manage a checklist in your sleep and know how to anticipate challenges and dependencies.
  • Can share a few examples of how you’ve created exceptional relationships with stakeholders you’ve supported across your organization.
  • Can share a few examples of how you’ve been proactive to solve problems instead of waiting to be given direction.
  • You care deeply about the quality of your work and others notice.
  • Have been accountable for confidential and sensitive information, and handled it flawlessly.
