Overview

The File Review Manager oversees the file review team responsible for second-level reviews of student financial aid files, ensuring compliance with federal, state, and institutional regulations. As the team’s subject matter expert, this role provides training, implements policies, optimizes workflows, and drives individual and team performance. The position also supports audit readiness, mitigates compliance risks, and promotes a culture of accountability and operational excellence.

Responsibilities

  • Lead and develop the File Review team, ensuring productivity, accuracy, and achievement of established performance metrics
  • Monitor and report on team performance, file review productivity, and campus compliance accuracy trends
  • Conduct second-level reviews of financial aid files for all student populations, ensuring compliance with federal, state, institutional, and Title IV regulations
  • Review and resolve conflicting information, verification discrepancies, C-Codes, professional judgments, and awarding issues
  • Serve as the primary liaison between corporate and campus financial aid teams to ensure consistent application of policies and procedures
  • Partner with Compliance, Student Services, Enrollment, and other stakeholders to maintain regulatory compliance and operational effectiveness
  • Provide guidance, support, and exceptional service to staff, campuses, and students
  • Support internal and external audits by ensuring documentation accuracy, regulatory compliance, and audit readiness
  • Identify compliance risks and implement corrective actions to mitigate exposure and maintain regulatory standing
  • Track, analyze, and report compliance trends, recurring errors, and opportunities for process improvement
  • Develop and deliver targeted training programs to improve quality, compliance, and staff performance
  • Serve as the subject matter expert for file review processes, financial aid regulations, and best practices• Establish/maintain a high performance team of professional, motivated and engaged staff utilizing effective training, performance management and career-development activities while leading them to achieve established business results and performance metrics
  • Recognizes and rewards employee contributions and achievements

Qualifications

Education / Experience

  • High school diploma or GED (required) Associate degree in Business, Accounting, Finance, or a related field (preferred)
  • Minimum seven (7) years of financial aid administration experience, including financial aid packaging (required)
  • Experience packaging financial aid in Non-Standard Term, Non-Term, and Clock-to-Credit Hour environments (required)
  • Knowledge base and experience should include, reviewing financial aid files in a centralized file review environment, federal and state financial aid regulations
  • Experience auditing, reviewing, and correcting financial aid files for compliance
  • Proficienct in recordkeeping, document retention, version control, and administrative processes
  • Must not be in default on federal student loans and must maintain eligibility throughout employment (required)

Work Environment

  • Work is performed indoors in a climate-controlled environment when on site at assigned company location. Employees must be able to safely ambulate when on company premises.
  • This position is designated as Remote. Employees must meet minimum technical standards for eligibility and participation.
  • No travel required
