Job Description

We are seeking an analytical, highly organised, and proactive Finance Operations Manager - Owner Accounts to oversee the financial management of Management Associations (MAs) and Owner Accounts across our Niseko, Furano, and Rusutsu properties. Our owner accounting covers multiple property contracts, each with its own set of deductions, and this role holds oversight of that process from start to finish.

This role ensures smooth financial operations, transparent reporting, and strong collaboration with owners, management associations, and internal teams. You will manage budgets, reporting, and audits while supporting accurate financial decision-making across multiple properties.

The ideal candidate is an analytical, bilingual (Japanese/English) leader who is comfortable working with large data sets and travelling regularly across our Hokkaido properties. You do not need to come from a traditional accounting or hospitality background, but you must have practical, hands-on experience of Japanese bookkeeping. If you are a strong analyst who can make sense of complex data, lead a team and build reliable processes, we would like to hear from you.

1. Financial Management & Control
  • Oversee the end-to-end owner accounting process across multiple property contracts, each with its own deduction structure, ensuring every task that feeds the process is completed accurately and on time.
  • Oversee financial flows for Management Associations (MAs), Always Hotel operations, and Owner Accounts.
  • Manage budgets, expenditure tracking, and cash flow forecasting to ensure financial stability.
  • Approve payments, reimbursements, and allocations across all MA and owner accounts.
  • Monitor levy collections, outstanding receivables, and ensure correct allocation of shared expenses.
  • Analyse large, multi-property financial data sets to identify trends, variances, and risks, and turn them into clear insights for owners and management.
  • Build and improve the tools, templates, and controls used to calculate and reconcile owner statements, reducing manual work and risk of error.

2. Reporting & Compliance

  • Prepare accurate monthly, quarterly, and annual financial reports for owners, management associations, and internal stakeholders.
  • Coordinate external audits for MA accounts. Liaise with tax accountants and owners for owner tax filings and payments, where appointed as tax proxy.
  • Prepare financial data for AGMs, EGMs, and other owner meetings, ensuring transparent communication.
  • Conduct year-end reconciliations, closing processes, and compliance checks to maintain accurate records.

3. Owner & Management Association Coordination

  • Act as the primary liaison for owners and management associations on all accounting-related matters.
  • Develop clear financial guidelines and maintain transparent reporting frameworks for owners.
  • Support AGMs and EGMs by preparing and presenting financial data and reports.
  • Handle ad-hoc financial issues raised by owners or management associations promptly and effectively.

4. Cross-Department Collaboration

  • Work closely with the Hotel Manager and Asset Management team to prepare P&L statements and budgets.
  • Collaborate with internal departments — including Operations, Reservations, and Finance — to ensure consistency and accuracy in financial reporting.
  • Align financial practices with company-wide objectives, providing insight to management for strategic decision-making.
  • Lead, coach, and develop the owner accounting team, setting priorities and ensuring quality and deadlines are met.
