About the Role

Ordinary Folk is a growing healthcare group serving patients in Singapore and Hong Kong, with a team in Japan. We're looking for an experienced, self-directed professional, as either a part-time employee or an independent contractor, to own our day-to-day finance operations, including payroll, and HR administration across the group.

It's a hands-on role with real ownership. You'll make sure our doctors, therapists and team are paid accurately and on time, and catch the discrepancies that protect our revenue. If you take pride in getting the details right, you'll find the work meaningful and appreciated.

Finance Scope

1. Accounts Payable & Banking

  • Approve payments, route AP-inbox supplier invoices to our accountants (Xero) and track recurring bills.
  • Prepare weekly and month-end bank balance summaries across SG, HK and JP.
  • Handle bank administration (HSBC, OCBC, Airwallex), liaise with payment vendors and reconcile the CEO's expense claims.

2. Doctor Payments & Revenue Checks

  • Review consult records daily (SG & HK), then pay doctors and therapists within the first 7 working days of each month.
  • Verify consults and fee collection (Stripe, Atome), and check linked orders, refunds and subscriptions for errors.
  • Investigate billing discrepancies, recover overpayments and track issues with Ops and Engineering to resolution.

3. Payroll (SG & HK)

  • Run monthly payroll in Talenox by the 23rd, and process CPF, SHG and SDL (by the 14th) and MPF (by the 10th).
  • Review contractor invoices against the 20th cut-off, and calculate pro-rated and final pay under SG and HK law.
  • Act as MPF authorised person with eMPF, and manage the Talenox system.

4. Tax Filings & Grants

  • SG: IR8A (by 1 March), IR21 and IRAS notices. HK: Employer's Return and the IR56 series with IRD.
  • Prepare and track business grant applications (e.g. Enterprise Singapore).

HR & Admin Scope

5. HR Administration

  • Maintain contracts and promotion, increment and termination letters, and manage leave and Employment Passes.
  • Administer the Flexi Benefits Policy and Monthly Bonding claims, and onboard staff to new systems.

6. Company Administration & Policy

  • Keep ACRA and HK Business Registration current, and manage Corppass access.
  • Manage the admin@ inbox, office mail and asset register, and coordinate policy projects with external counsel.

What We're Looking For

Finance & payroll

  • Hands-on payroll experience for both Singapore and Hong Kong (CPF, SDL, SHG, MPF).
  • Accounts payable, bank administration and employer tax filing experience (IRAS IR8A/IR21, HK IRD IR56 series). Xero familiarity is a plus.

HR & admin

  • Working knowledge of the SG Employment Act, the HK Employment Ordinance and Employment Pass processes.

Skills & approach

  • Strong attention to detail. Much of the role is checking records against each other.
  • Confident in Google Sheets, independent, and clear in written communication.
  • Complete discretion with confidential payroll, HR and banking information.

Tools You'll Use

  • Finance & payments: Xero, HSBC, OCBC, Airwallex, Stripe, Atome, Acuity, Shopee, Lazada
  • Payroll & tax: Talenox, CPF portal, eMPF, IRAS myTax Portal, HK IRD
  • Government & admin: ACRA Bizfile, Corppass, Singpass, GoBusiness, Google Workspace, Slack

The Arrangement

  • Engagement: part-time employment (pro-rated salary, CPF and leave) or an independent contractor (hourly rate, invoiced monthly).
  • Commitment: 24 hours across 3 agreed days a week, planned around payroll and filing deadlines, with flexibility in peak weeks.
  • Working style: hybrid or remote, with some on-site presence for mail and banking documents. Be reachable on working days and give notice of planned time off.
  • Confidentiality: you'll sign a confidentiality agreement. Secure system access is provided.

Why Join Us

  • Meaningful, varied work at the heart of a healthcare business that helps people every day.
  • Real ownership and visible impact, with a direct line to our CFO and Finance Manager.
  • A predictable 3-day week that leaves room for the rest of your life.

How to Apply

  • Apply with your CV and a short note on your finance and SG/HK payroll experience, your preferred arrangement (part-time employment or contractor), your available days and your expected salary or hourly rate by 12 November 2026.
