Company Overview:
Position Summary:
Lightspeed DMS is looking for a Financial Operations Manager, to lead the billing, accounts payable, and procurement functions. The ideal candidate will own and continuously improve the company’s end-to-end billing and procure-to-pay operations, managing the people, systems, and processes that ensure every customer is billed accurately, on time, and in accordance with their contract, and that every vendor is paid accurately, on time, and in accordance with company policy.
This role requires system fluency across NetSuite, ZoneBilling, Avalara, and Ramp. The ideal candidate will bring equal parts financial operations rigor and a native fluency with AI. We are searching for a candidate that enjoys developing and improving processes with a solutions-oriented mindset, reaching for Claude, LLMs, and automation tools first rather than as an afterthought. You'll be expected to think in process flows, not just transactions, and to bring a builder's mindset to solving problems. This role is an exciting opportunity for a hands-on manager to build and scale quote-to-cash and procure-to-pay functions within a high-growth PE owned SaaS company.
What you’ll do:
Billing Operations & Collections:
· Oversee end-to-end monthly invoicing processes in Zone Billing/NetSuite.
· Review pre-billing validation controls that reconcile Salesforce contract and order data to ZoneBilling subscriptions.
· Review post-run reconciliation and exception review, ensuring invoice counts and amounts are in line with expectations, with anomalies identified and resolved.
· Oversee the credit memo and rebill process, ensuring adjustments are accurate, properly approved, well-documented, and root causes are addressed.
· Coordinate with Billing, Cash Application, and Collections to ensure billing outputs support clean application and aging integrity.
· Partner with Tax Team on invoice and system configuration with the Avalara Tax calculator.
· Lead billing remediation projects and maintain a Billing Incident Response Playbook.
· Serve as the escalation point for complex or sensitive customer billing disputes.
Accounts Payable and Disbursements:
· Oversee accounts payable cycle, establishing and enforcing controls, including vendor master data, banking details, and W-9/1099s.
· Oversee ACH/electronic transfers, wires, and other disbursements, ensure secure, accurate, and timely payment execution.
· Oversee corporate card and spend programs in Ramp.
Procurement and Vendor Management:
· Continuously refine procurement and procure-to-pay strategies, policies, and workflows to optimize efficiency and internal controls.
· Ensure compliance with the company’s procurement policies and procedures.
Systems, Process, and Team:
· Identify and eliminate manual touchpoints across the quote-to-cash and procure-to-pay processes, leveraging automation, reporting, and standardized procedures.
· Lead, mentor, and develop the team, fostering a culture of accuracy, accountability, and continuous improvement.
· Establish and report on financial operations KPIs.
What you should have:
Qualifications:
· Bachelor’s degree in Accounting, Finance, or a related field preferred.
· 5+ years of progressive experience across billing, accounts payable, procurement, and/or revenue operations, ideally in a SaaS business.
· Hands-on proficiency with Zone Billing, NetSuite, Avalara, and Ramp.
· Native or advanced proficiency with AI tools and LLMs, e.g. Claude, Claude Cowork, Claude Code, or equivalent, applied meaningfully to real financial operational situations.
· Fluency in working alongside AI; knowing when and how to use it, how to evaluate its output critically, and how to build reliable processes around it.
· Intellectual curiosity as a professional trait: you are curious, you challenge assumptions, and you actively seek better ways to do things.
· Demonstrated experience building controls, validation routines, and documented procedures that scale.
· Excellent stakeholder management and communication skills.
· Strong analytical and problem-solving abilities.
· High level of accuracy and attention to detail, with the judgment to prioritize under volume and deadline pressure.
