Administrative, Data, & Financial Support
- Track financial records: Monitor and complete unmatched fuel reports for JJ Keller, track outstanding Purchase Orders (POs) and Blanket Purchase Orders (BPOs), and assist with PO creation.
- Maintain documentation: Generate and update spreadsheets to maintain trackable, reportable information, and pull database reports as requested by leadership.
- Audit and verify data: Verify that the MCO Console is active and up to date, report discrepancies, and calculate monthly mileage reports for individual MMCs and total fleet mileage.
- Assist leadership in auditing: Help leadership audit completed work, verify data accuracy, and report findings for final review.
Communication, Collaboration, & Training
- Facilitate meetings: Lead weekly driver meetings and actively participate in mandatory routing meetings, weather and safety calls, and department meetings (Mondays and Fridays).
- Provide operational handoffs: Deliver detailed pass-down reports on Mondays following weekend coverage.
- Support driver relations: Address drivers' daily issues and concerns, escalating active problems to leadership as appropriate.
- Liaise with security: Coordinate with Corporate Security on route concerns and immediately escalate active security issues.
- Support team onboarding: Assist with the training and onboarding of new hires (excluding maintenance reporting).
- Vendor management: Work directly with external vendors, including maintenance providers, as required.
Key Performance Expectations:
- Communication Flow: All routing decisions, compliance concerns, and operational issues must be communicated through leadership for review, direction, and final decision-making.
- Timely Escalation: Information, reports, and findings must be escalated swiftly to maintain operational alignment and consistency.
- Process Adherence: Task execution must strictly follow established processes, leadership guidance, and designated operational priorities.
- Authority Limits: This role supports fleet operations and does not function as the final authority on routing, compliance, or operational decisions.
