The UWM Registrar’s Office provides effective and reliable service in support of the University’s academic mission. We facilitate and support student admission, enrollment, retention and graduation in various ways, and provide information and services to UWM faculty and staff. The office is comprised of five service areas: academic, administrative, records, student, and transfer.
Key Job Responsibilities:
- May assist in the development and monitoring of the unit or program budget and approve unit expenditures
- Plans, implements, executes, and evaluates existing strategies and objectives for a program and makes recommendations to unit leadership for program or function enhancement
- Leads the development and preparation of periodic reports and financial statements, and records progress, status, or other special reports for leadership or external agencies
- Schedules logistics and secures resources for program activities across multiple work units to ensure optimum efficiency and compliance with appropriate policies, procedures, and specifications
- May exercise supervisory authority, including hiring, transferring, suspending, promoting, managing conduct and performance, discharging, assigning, rewarding, disciplining, and/or approving hours worked of at least 2.0 FTE or equivalent employees
- Contributes to the preparation of proposals for funding and/or funding continuation from outside sponsors
- Identifies workflow needs, contributes to the development of strategic and operational solutions, allocates resources, and implements new or revised unit operational policies and procedures
Job Summary:
Under the direction of the Senior Associate Registrar, the Flex Administrative Manager plays a key role in supporting the operational processes and records management for the Flexible Option program. This operational position maintains student records for all UW-Milwaukee Flexible Option students, including but not limited to posting and auditing transfer credits, processing term changes, clearing students for graduation, and posting degrees. The Administrative Manager collaborates with the Universities of Wisconsin Office of Online & Professional Learning Resources (OPLR) Success Coaches, Admissions, and Registrar’s office staff for processing of records updates, problem solving, and providing communication and training. They also communicate with Flex Academic Directors to assist with curricular questions and student services. This position requires exceptional customer service skills, effective communication skills, attention to detail, and the ability to work independently and collaborate with others in a mostly remote environment.
Responsibilities:
Maintains student records for Flex option students.
- Processes applications for admitted students, matriculates and reactivates students as needed.
- Coordinates the review, entry, and evaluation of Flex transfer credit.
- Runs daily/weekly/monthly audits of data and records corrections and makes appropriate changes.
- Troubleshoots and resolves student records issues related to grading errors, academic standing, enrollment, or other issues.
- Processes regular records updates, including term changes and grade changes.
- Manages important administrative functions related to student degree audits, graduation, and records, including clearing students for graduation and posting degrees.
Collaborates with Success Coaches, Admissions, and Registrar’s Office staff from Universities of Wisconsin Office of Online & Professional Learning Resources (OPLR) in support of Flex students.
- Manages emails correspondence with OPLR team, responding to emails, or forwarding as needed.
- Provides support and training for OPLR regarding PAWS and Stellic functionality.
- Communicates with and provides training to OPLR staff as new policies or systems are implemented
Communicates with Flex Academic Directors to assist with curricular questions and student service.
- Sends out monthly communication to all Flex instructors regarding grading deadlines.
- Participate in regular meetings with Flex academic directors and OPLR staff to keep abreast of needs of Flex students, staff, and administrators.
- Communicates directly with Flex Academic Directors to resolve student records issues.
- Provides additional general student and technological support for Flex option programs.
- Manages and updates the Flex Schedule of Classes.
- Collaborates with Enrollment Management Systems Director to update and approve the Flex production calendar.
- Assists with rebuilding business processes and customizations for Flex when necessary, due to software upgrades and policy changes.
- Processes all enrollment/degree verification letters for UWM Flex students.
Minimum Qualifications
- Bachelor’s degree or commensurate combination of training and experience
- At least 5 years of experience working in an administrative role at a college or university
- Demonstrated administrative experience with PeopleSoft or another similar integrated data management system.
- Demonstrated ability to work independently, make decisions autonomously when needed, and provide strategic leadership while collaborating with others.
Preferred Qualifications
- Experience working in a College or University Registrar's office highly preferred.
- Demonstrated experience maintaining student records.
- Demonstrated experience with evaluation and posting of transfer credits.
- Experience as a high-level functional user of a student information system and related technologies.
- Demonstrated successful experience working with academic units, including faculty and administrators.
- Demonstrated experience creating process documentation or training materials.
Target Salary Range
$57,000-$60,000
(Final salary offer will be determined based on qualifications and experience)
