Job Description

This is a remote position.

Company-wide visibility and execution

  • Develop a strong understanding of priorities, progress, blockers, risks and upcoming decisions across Rayda.
  • Attend leadership and company-wide meetings.
  • Build strong working relationships with department heads.
  • Identify issues or gaps that may require CEO attention.
  • Prepare concise Founder Briefs covering key developments, risks, decisions and follow-ups.
  • Maintain visibility across Rayda’s globally distributed team.

Commitment tracking and follow-through

  • Own and maintain the company-wide commitments tracker.
  • Track key commitments, owners, deadlines, dependencies, blockers and status.
  • Proactively follow up with owners before commitments become overdue.
  • Identify stalled or slipping commitments and understand the reasons.
  • Escalate material issues where appropriate.
  • Ensure commitments made by the CEO or during leadership discussions have clear ownership and follow-through.

Turning CEO priorities into execution

  • Translate CEO priorities and ideas into clear, executable plans.
  • Clarify desired outcomes and identify appropriate owners and stakeholders.
  • Define key actions, milestones, dependencies and timelines.
  • Coordinate with relevant departments and teams.
  • Track progress and surface blockers.
  • Keep the CEO informed without requiring the CEO to directly manage each initiative.

Supporting department heads

  • Help department heads improve clarity, accountability, coordination and follow-through without becoming their manager.
  • Follow up on agreed actions and deadlines.
  • Help unblock cross-functional work.
  • Coordinate activities involving multiple departments.
  • Surface emerging operational issues and escalate persistent or material issues appropriately.

Creating leverage for the CEO

  • Distinguish between matters requiring CEO attention and those that can be resolved elsewhere.
  • Ensure the CEO is prepared for important meetings and decisions.
  • Track important CEO commitments, decisions and follow-ups.
  • Identify when important priorities have stalled or lost momentum.
  • Protect the CEO from unnecessary operational noise while ensuring critical information reaches him.
  • Respectfully challenge the CEO where priorities or allocation of attention appear inconsistent.

Internal communications and coordination

  • Prepare internal updates, presentations, documents and briefing materials.
  • Coordinate company-wide communications and follow-ups.
  • Translate leadership decisions into clear actions and ownership.
  • Ensure important information reaches the appropriate people.

Company events and initiatives

  • Coordinate internal offsites, leadership sessions, hackathons, team gatherings and other company initiatives.
  • Manage logistics, stakeholders, timelines and follow-through.
  • Work with internal teams and external providers as required.
  • Provide operational support for external events where required.

Executive and travel support

  • Coordinate flights, accommodation, transportation and travel itineraries.
  • Ensure travel plans and logistics are communicated well ahead of time.
  • Coordinate important appointments where required.
  • Anticipate logistical requirements around travel and major commitments.


Requirements

  • Strong ownership mindset with the ability to identify issues, take initiative and drive follow-through without constant supervision.
  • Excellent organisational and prioritisation skills, with the ability to manage multiple priorities, commitments and deadlines simultaneously.
  • Strong judgment and ability to determine what requires CEO attention, what should be escalated and what can be resolved independently.
  • Excellent written and verbal communication skills, with confidence engaging employees, department heads, senior leadership and external stakeholders.
  • Demonstrated ability to operate effectively in fast-paced, high-responsibility and ambiguous environments.
  • Strong execution and coordination skills, particularly across multiple teams and stakeholders.
  • Ability to proactively track commitments and ensure agreed actions translate into outcomes.
  • High level of discretion and maturity when handling confidential or sensitive information.
  • Confidence to respectfully challenge senior stakeholders and ask direct, constructive questions when necessary.
  • Strong curiosity and willingness to develop a broad understanding of different business functions, including Product, Sales, Marketing, Engineering, Finance, Operations and People.
  • High adaptability and ability to respond effectively as priorities change.
  • Experience in startup operations, business operations, Founder’s Office, executive operations, strategy, consulting, project/programme management, investment banking or another demanding environment is advantageous but not mandatory.
  • Prior Executive Assistant experience is not required; exceptional early-career candidates with strong judgment, ownership and operating ability are welcome to apply.
