About SAPA
SAPA is a physician-led humanitarian organization delivering healthcare across Sudan, Chad, Uganda and North America. Our Global Communications & Fundraising department is responsible for brand, digital strategy, campaigns, donor relations and field documentation across every channel. Most of our revenue comes from online giving and digital marketing, which means this role sits at the heart of how we grow and keep our donor base.
What you will do
Donor relations and stewardship (35%)
- Manage a portfolio of mid-level and recurring donors; cultivate, solicit and steward them through calls, emails, meetings and personalized touchpoints
- Build and run the stewardship calendar: acknowledgments within 48 hours, impact updates, anniversary and milestone recognition, year-end reporting
- Identify donors with major-gift potential and bring them to the Director with a documented cultivation plan
- Respond to donor inquiries and resolve issues with a high standard of service and discretion
- Lead re-engagement outreach for lapsed and at-risk donors
Salesforce and donor data (25%)
- Serve as the day-to-day owner of Salesforce (Nonprofit Cloud / NPSP): contact and account records, opportunities, campaigns, recurring donations and household records
- Maintain data hygiene: deduplication, standardized coding, gift attribution and source tracking
- Build and maintain reports and dashboards for retention, lapse risk, campaign performance and pipeline
- Segment donor lists for appeals, newsletters and campaigns in coordination with the Communications team
- Document processes and train colleagues on Salesforce workflows
Gift processing and receipting (20%)
- Process gifts across all channels: online platforms, checks, wire transfers, employer matching, donor-advised funds and third-party platforms (Benevity, PayPal and similar)
- Issue IRS-compliant donor acknowledgments and tax receipts for all gifts
- Reconcile monthly with Finance and resolve discrepancies
- Administer recurring-giving programs, including failed-payment recovery and card-expiry outreach
Fundraising campaigns and appeals (15%)
- Coordinate direct response appeals (email, mail, SMS) from segmentation through to results reporting
- Support Ramadan, Giving Tuesday, year-end and emergency campaigns with donor lists, timelines and post-campaign analysis
- Draft donor-facing copy for acknowledgments, impact reports and appeals, aligned to SAPA's brand voice
- Support donor events and board or major-donor engagement activities as needed
Reporting and compliance (5%)
- Produce monthly fundraising reports for leadership: revenue by channel, donor counts, retention and average gift
- Keep donor data handling compliant with applicable U.S. privacy and email marketing laws (including CAN-SPAM) and SAPA's privacy policies
- Support audit and Form 990 requirements with accurate donation records
What you bring
- 3+ years of fundraising experience at a nonprofit, ideally in donor relations, annual giving or a development officer role
- Experience with a donor CRM such as Salesforce (Nonprofit Cloud or NPSP preferred): keeping records clean, running reports and managing campaigns
- Experience building relationships with donors and working toward retention or revenue goals
- Experience processing gifts and working with Finance to keep records accurate
- Familiarity with IRS donor acknowledgment rules and CAN-SPAM, or the ability to learn them quickly
- Strong writing: you can draft donor emails, thank-you notes and short impact updates that need little editing
- Comfortable working remotely with a distributed international team across time zones
- Legally eligible to work in the United States
Nice to have
- Salesforce Administrator certification or advanced Nonprofit Cloud experience
- Experience with Klaviyo, Mailchimp or a similar email platform, or with Manychat or similar social automation
- Arabic language skills
- Experience fundraising for international humanitarian or health causes, or with diaspora and faith-based donor communities
- Experience with Asana or similar project management tools
Don't check every box? Please apply anyway. We care most about donor relations experience, comfort with data and commitment to our mission.
How you work
- Self-directed: sets priorities, manages a full workload and escalates only when a decision is above their level
- Donor-centered: treats every donor interaction as a relationship, not a transaction
- Detail and accuracy: receipts, records and reconciliations are right the first time
- Data literacy: reads a dashboard, spots a trend and acts on it
- Discretion: handles sensitive donor and financial information with confidentiality
- Cultural fluency: works comfortably with donors and colleagues across Sudanese, diaspora, faith-based and general U.S. audiences
- Collaboration: coordinates with Communications, Finance and field teams without needing to be chased
Success in the first 12 months
- Every gift acknowledged within 48 hours and receipted within 5 business days
- Donor retention rate reported monthly, with a target set by 90 days and improved year over year
- A functioning stewardship calendar covering all donor segments
- Salesforce dashboards for retention, lapse risk and campaign performance in use by leadership
- Monthly reconciliation with Finance closed with no unresolved variances older than 30 days
- At least 10 qualified major-gift prospects identified, each with a documented cultivation plan
- Recurring-giving failed-payment recovery rate tracked and improving
