Role Overview

The Benefits Operations Analyst owns enrollment, life-event, and eligibility administration across global markets. This role reports to the Manager, Global Benefits Administration & Delivery.

This role is part of the global Benefits team, focused on the contracting and delivery responsibilities along with the employee experience so that benefits delivery runs accurately and on schedule, with scope naturally flexing to adjacent work as needed.

Job Responsibilities

Enrollment & Eligibility Administration

  • Process enrollment, life-event changes, and eligibility updates accurately and on schedule.
  • Support annual enrollment execution, including reviewing renewals, data submission and validation along with employee-facing communications support.
  • Prepare enrollment, eligibility, and deduction files for submission to carriers, brokers, and payroll, and submit them on the agreed schedule after quality checks.

Employee Support

  • Review employee policies and communications from eligibility to enrollment windows, deadlines, and plan-access instructions.
  • Respond to Tier-2 employee benefits inquiries and route complex cases as appropriate.
  • May answer employee questions on benefits provisions, eligibility rules, and published policies using approved content, referring interpretation questions and exceptions to the Manager, Benefits.
  • Maintain the employee-facing benefits Q&A and knowledge content so it reflects current plan terms in each country, and keep it aligned with the source material the AI self-service tool draws on.

Process Consistency

  • Follow documented administrative processes and flag process gaps or recurring issues.
  • Maintain enrollment, eligibility, and life-event records in an audit-ready state year-round — complete supporting documentation, dated, and retrievable on request — so internal audit, plan audits, and local regulators can be answered without reconstruction.
  • Handle enrollment, eligibility, and life-event data — which includes personal, health, and dependent information — in line with Circana's data privacy policies and the requirements of each country where the data originates, limiting access and sharing to what the task requires.
  • Contribute to the enrollment and eligibility SOPs, and keep them current as processes change, so the work is documented well enough for another team member to cover it.
  • Identify and interpret country-level statutory requirements, local country plan terms, enrollment deadline changes, and/or eligibility rules to ensure benefit communications, enrollment and data submission is accurate.
  • Collect feedback from internal stakeholders and employees regarding vendor and carrier performance to ensure failures seen at transaction level — missed turnaround times, incorrect eligibility loads, mishandled claims.
  • Complete benefits surveys, benchmarking questionnaires, and structured data requests from brokers, consultants, and internal partners, providing verified plan and enrollment data for review before submission.
  • Answer questions and review work across the Benefits team as needed, helping keep activities aligned amongst the team.

Requirements

  • Typically requires 6–8 years of experience in benefits enrollment, eligibility, or life-event administration, in an HR, HRIS, payroll, insurance carrier, or broker/consulting environment, with exposure to global responsibility / multi-country benefits programs.
  • Strong attention to detail, particularly with enrollment and eligibility data.
  • Awareness of data privacy principles for handling personal and health-related information, and comfort following country-specific data handling requirements as directed.
  • Experience working within documented processes and controls, including supporting benefits or HR audits, statutory filings, or data reconciliation requests.
  • Exposure to process-improvement methodology — Lean, Six Sigma, or equivalent coursework or on-the-job application — and comfort identifying and proposing solutions.
  • Clear, professional communication skills for employee-facing support.
  • Hands-on experience writing AI prompts for benefits-related tasks — drafting employee communications, summarizing plan or eligibility documents, or reconciling enrollment and vendor data — and reviewing the output for accuracy before use.
  • Advanced/fluent English proficiency (written and spoken), required for daily work with global stakeholders and vendors; native or fluent Spanish.
