Role Overview
The Global Benefit Operations Lead owns the day-to-day operation of our global benefits programs — running renewals, monitoring vendor performance, making sure benefits data is accurate before it is submitted, and resolving employee benefit issues as they arise. This role reports to the VP, Global Benefits and supports benefits programs globally, not a single market.
This is a small, global team; the role includes related work beyond the responsibilities listed below. Documented processes and records must meet the statutory and filing requirements of every country Circana operates in. Automation and system feeds are planned for a later phase. The role carries exposure beyond day-to-day operations — benefits integration following acquisitions, new-country start-ups, vendor RFPs, and the automation build-out — with ownership of these areas increasing over time. These are the types of opportunity and exposure that support movement to a next-level role.
Job Responsibilities
Renewals & Vendor Management
- Own the operational side of annual renewals across insured and retirement plans — gathering census and plan data, tracking timelines and open items, and preparing materials for our brokers.
- Lead ongoing comparison of vendor and carrier performance — against contracted service standards and against each other — covering turnaround times, service levels, and open issues, and escalate issues that remain unresolved.
- Research and resolve escalated employee benefit issues — claims, eligibility, enrollment, and payroll deduction problems — working with carriers, brokers, and internal teams until they are resolved.
- Keep benefits policy and plan documents current and organized, working with the Director, who owns the policy content.
- Follow documented SOPs for renewals and vendor management, and update them as needed to improve the process and the employee experience.
Data Integrity & Audit Support
- Review benefits data — enrollments, eligibility, and deductions — after the Operations Analyst's preparation and quality checks, as a second check before it is submitted to carriers, brokers, and payroll.
- Keep vendor, broker, and carrier documentation complete and organized so it's ready whenever internal audit, a plan audit, or a local regulator asks for it.
- Support documentation and scheduling for vendor sourcing and contract renewals, working with Procurement and the VP, Global Benefits.
- Track the statutory and filing requirements that apply to benefits in each country we operate in, review each filing before it's submitted, and keep a copy of record, making sure we're meeting them on time.
- Keep our global benefit tracking system current, so it accurately reflects the benefits in place in each country.
Data Coordination
- Coordinate the flow of broker-delivered utilization, claims, cost-trend, and market benchmarking data into internal reporting.
- Reconcile benefits data across broker reports, carrier files, and internal systems, and follow up on discrepancies until they're corrected at the source.
- Identify opportunities for vendor or provider consolidation for simplicity and efficiency.
- Route broker-delivered benchmarking data on a schedule that fits design and renewal work, so the data is current when decisions are made.
Cross-Functional Support
- Support the VP, Global Benefits at renewal time with records, risk review, and admin coordination.
- Partner with HRBPs, HR operating centers, Payroll, and Procurement — answering benefits questions, resolving handoffs, and keeping processes consistent across regions.
- Serve as the primary owner for benefits operations questions across the Benefits team, keeping activities aligned on a small, global team.
- Take on special projects that improve the employee benefits experience — often using AI, and often in partnership with our Communications team.
- Serve as backup for enrollment, eligibility, and deduction processing when the Operations Analyst is at capacity or unavailable.
Requirements
- Typically requires 6–9 years of experience in benefits administration, vendor coordination, or a related HR operations role.
- Working knowledge across a wide range of benefits, particularly insured plans (medical, dental, life, disability) and retirement plans.
- Experience working within documented processes and controls, including country-level benefits compliance requirements in more than one geography.
- Works well across HRBPs, HR operating centers, Payroll, and Procurement, and with carriers and brokers, building the relationships needed to get answers quickly.
- Detail-oriented and organized, and carries an issue through to resolution.
- Comfort working with data from multiple sources (broker reports, contracts, internal systems).
- Interested in projects that improve the employee benefits experience, not only in maintaining existing processes.
- Exposure to process-improvement methodology — Lean, Six Sigma, or equivalent coursework or on-the-job application — and comfort identifying and proposing solutions.
- Advanced/fluent English proficiency (written and spoken); native or fluent Spanish.
- Ability to work effectively with global stakeholders across time zones.
