Job Title: Global Mobility Specialist (Contract)Job Description

This contract Global Mobility Specialist role provides critical support during a period of heightened global mobility activity driven by business growth and acquisition integration. You will coordinate international assignments, manage immigration and visa processes, and act as the primary U.S.-based point of contact for associates, managers, vendors, and internal stakeholders, ensuring that mobility activities are executed accurately, efficiently, and in compliance with company policies and country-specific requirements.

Responsibilities
  • Coordinate end-to-end administration of international assignments, including both short-term and long-term expatriate arrangements.
  • Support transition activities for associates relocating as part of acquisition integration or broader business growth initiatives.
  • Track assignment milestones, required documentation, key dates, and dependencies to ensure timely progression of each case.
  • Maintain comprehensive assignment records, status reports, and case tracking documentation in agreed tools and systems.
  • Coordinate required approvals and manage clear, proactive communication with internal stakeholders throughout the assignment lifecycle.
  • Serve as the primary U.S.-based contact for visa and work authorisation activities, ensuring employees and managers understand processes and timelines.
  • Partner with external immigration providers to initiate, monitor, and progress visa applications and related supporting documentation.
  • Coordinate the collection and submission of employee documentation required for visa processing and work authorisation.
  • Monitor visa and immigration case status, following up promptly on pending actions to avoid delays or compliance issues.
  • Provide guidance to employees and managers on immigration process requirements, expected timelines, and next steps, leveraging external vendors for legal expertise.
  • Support associates travelling or relocating to Saudi Arabia under established mobility programmes, ensuring all company-required activities are completed.
  • Coordinate activities associated with KSA assignments and business travel, including work visas, residency permits, and assignment setup.
  • Liaise with HR, Payroll, Tax, Legal, and business leaders to ensure all required actions for mobility cases are completed accurately and on time.
  • Facilitate communication between assignees and external mobility vendors to ensure a smooth and informed employee experience.
  • Work directly with immigration, relocation, and mobility vendors to manage cases, escalate issues, and ensure service delivery meets expectations.
  • Schedule and facilitate regular status meetings with vendors and internal stakeholders to review progress and address any risks or blockers.
  • Ensure vendors receive all required documentation and approvals promptly to support timely case processing.
  • Respond to employee and manager questions regarding global mobility processes, policies, and case status.
  • Provide clear and regular updates on assignment and visa status to employees, managers, and HR stakeholders.
  • Coordinate relocation and travel-related logistics as applicable, supporting a seamless move experience for assignees.
  • Deliver a positive employee experience throughout the assignment lifecycle by providing timely information, support, and problem resolution.
  • Maintain accurate mobility trackers and reporting tools, ensuring data integrity and visibility of open cases and upcoming milestones.
  • Prepare regular status updates and summary reports for HR leadership and business stakeholders on mobility activity and case progress.
  • Track open cases, upcoming deadlines, and compliance-related actions to ensure obligations are met and risks are managed.
  • Support process documentation, continuous improvement, and knowledge transfer activities to strengthen global mobility operations.
  • Contribute to the successful coordination of acquisition-related associate transitions and rapid business growth initiatives through effective mobility execution.
Essential Skills
  • Bachelors degree or equivalent professional experience in a relevant field.
  • 37 years of experience supporting global mobility, immigration, relocation, or international HR programmes.
  • Hands-on experience coordinating international assignments and managing visa and work authorisation processes.
  • Experience working directly with immigration and relocation vendors to manage cases and service delivery.
  • Strong project coordination skills, with proven ability to manage multiple concurrent mobility cases from initiation through completion.
  • Demonstrated case management experience, including tracking milestones, documentation, and stakeholder actions.
  • Excellent organisational skills with the ability to prioritise effectively in a fast-paced, high-volume environment.
  • Advanced Microsoft Office skills, including strong proficiency in Excel, PowerPoint, and Teams.
  • Strong communication skills, with the ability to explain complex mobility and immigration processes clearly to employees and managers.
  • Proven stakeholder management skills, including partnering with HR, business leaders, and external vendors.
  • Experience administering global mobility programmes and expatriate assignments in a corporate environment.
  • Ability to maintain accurate records and reporting tools, ensuring data integrity and compliance.
  • Execution-focused mindset with a strong commitment to meeting deadlines and delivering timely outcomes.
Additional Skills & Qualifications
  • Experience supporting Saudi Arabia (KSA) visa and assignment processes, including work visas and residency permits.
  • Familiarity with business traveller, short-term assignment, and expatriate assignment administration.
  • Experience working within Workday or similar HRIS platforms to support mobility and HR processes.
  • Experience supporting acquisition integrations, employee transitions, or rapid business growth initiatives.
  • Exposure to healthcare or technology environments and large, enterprise-scale organisations.
  • Ability to contribute to process documentation, continuous improvement, and knowledge transfer within global mobility.
  • Comfort working in a remote setting, using collaboration tools and virtual communication to engage stakeholders.
  • Strong attention to detail and a proactive approach to identifying and resolving issues in mobility cases.

This is a Contract position based out of Salt Lake City, UT 84123.

Pay and Benefits

The pay range for this position is $34.00 - $54.00/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
