Pay Range:
- $70,304/year to $90,000/year
As the Grants Administrator, you will serve as the primary operational point of contact for grant administration and compliance activities after awards have been received. Responsibilities include:
Grant Administration & Compliance
- Manage day-to-day administration of state, county, federal, and pass-through grant awards.
- Maintain grant compliance calendars and ensure all reporting and submission deadlines are met.
- Review grant agreements, amendments, and funding requirements, translating them into actionable processes for internal teams.
- Ensure grant-funded activities, staffing, and expenditures conform to allowable-cost rules and applicable federal and state requirements, including the Uniform Guidance at 2 Code of Federal Regulations (CFR) Part 200 where applicable.
- Track performance measures, deliverables, and compliance requirements.
- Maintain complete and audit-ready grant files and documentation.
Reporting & Documentation
- Prepare and submit accurate programmatic and fiscal reports.
- Collect, validate, and reconcile data from multiple program locations and stakeholders.
- Maintain required information in funder and state reporting systems.
- Coordinate monitoring visits, desk audits, site reviews, and corrective action plans.
- Support grant renewals, modifications, extensions, and closeouts.
Financial Coordination
- Partner with accounting teams to monitor budgets, expenditures, reimbursements, and grant funding utilization.
- Reconcile spending against approved budgets and identify variances or compliance risks.
- Assist with invoicing, reimbursement submissions, and payment tracking.
- Monitor grant spend-down rates and recommend budget adjustments when needed.
Stakeholder & Agency Relations
- Maintain professional relationships with funding agencies, contract managers, and public officials.
- Respond to requests for documentation and grant-related information.
- Monitor policy updates and communicate changes to impacted teams.
- Represent the organization at funder meetings, trainings, and grantee events.
Internal Coordination & Team Support
- Work with program leadership, site staff, and grant-funded field staff to ensure grant-required activities are completed and documented.
- Train internal staff on grant documentation, data collection, and reporting requirements, and follow up to ensure completion.
- Coordinate with the grant writing function to transition newly awarded grants into active administration and provide compliance input on renewals and new applications.
- Serve as the internal resource for questions about grant requirements and allowable use of funds.
- Provide regular status updates to leadership on compliance status, upcoming deadlines, budget position, and risks.
Requirements:
- Bachelor’s degree in public administration, business, health administration, accounting, or a related field.
- Three or more years of experience in grant administration, contract compliance, or government-funded program management.
- Demonstrated experience preparing grant reports, tracking deliverables, and maintaining audit-ready documentation.
- Working knowledge of grant budgets and cost allowability.
- Advanced Excel skills.
Preferred
- Experience administering Substance Abuse and Mental Health Services Administration (SAMHSA) funded awards or SOR grants.
- Experience with California state or county grant programs, including DHCS-funded programs.
- Experience in behavioral health, substance use disorder treatment, or healthcare.
- Familiarity with 2 CFR Part 200 and single audit requirements.
- Grants management certification, such as the Certified Grants Management Specialist credential.
