Our mission at BOLDSCIENCE is to disrupt the Medical Communication and Healthcare Advertising industry by offering the most complete suite of industry-leading scientific, creative, and digital expertise under one roof. Our vision is to create the most memorable programs that inspire change, helping healthcare companies improve patients’ lives.
Summary
The Group Project Supervisor at BOLD is an expert in portfolio planning, operational leadership, prioritization, and cross-workstream delivery. They translate account priorities into an integrated delivery plan, creating forward visibility across timelines, dependencies, decisions, risks, and resource needs.
They are someone who can meticulously plan multiple concurrent workstreams while managing the impacts, risks, and dependencies between each project. Working in partnership with Client Services and functional leads, this person will connect client priorities and project requirements to a clear, achievable portfolio delivery plan. They will ensure that business decisions, timing implications, and operational trade-offs are visible early enough for the team and client to act.
As part of the Delivery team within the Project Management department, the Group Project Supervisor will manage the operational connection between project needs and client priorities. The role reports into BOLD Project Management for professional development, standards, and ways of working, while operating day to day as an embedded member of the client portfolio team.
The Group Project Supervisor will be responsible for the integrated portfolio plan for a specific client, with a primary focus on maintaining a consolidated view of all active and planned work. They will work closely with Client Services, Project Management, Scientific, Creative, Digital, Editorial, and other relevant teams to gather accurate inputs and identify priorities, decisions, risks, resource needs, and interdependencies as the portfolio evolves.
The Group Project Supervisor is the operational lead for the client portfolio. They do not replace Client Services account leadership, scientific strategy, or day-to-day ownership of individual deliverables. Instead, they connect these functions through an integrated portfolio plan, establish clear operating discipline, and ensure that risks, dependencies, resource needs, and decisions are surfaced and acted upon at the right time.
Working in close collaboration with the Client Services team, the Group Project Supervisor is a key integrated collaborator and requires experience working on projects that span strategy, scientific content, creative, and digital delivery.
As a developing role within BOLD, this position allows the Group Project Supervisor to help define and strengthen portfolio-level program management over time. This is an exciting opportunity for someone looking to demonstrate ownership and expertise while remaining open to change, collaboration, and growth.
DAY TO DAY RESPONSIBILITIES:
- Operational ownership of the integrated portfolio plan for a specific client, in partnership with the Client Services account lead.
- Maintain a consolidated, forward-looking view of the client portfolio, connecting individual project timelines to account priorities, review windows, stakeholder availability, and business-critical milestones.
- Translate portfolio information into clear, decision-oriented reports and status updates that distinguish progress, risks, decisions required, and actions needed.
- Identify decision points, dependencies, bottlenecks, and potential delivery conflicts early, clearly articulating the if/then implications of timeline or priority changes.
- Provide structured recommendations on sequencing, prioritization, and mitigation when timelines, resources, or client priorities compete.
- Demonstrate an understanding of the client’s needs and proactively identify practical solutions that support successful program delivery.
- Produce and manage program status reports, integrated timelines, risk and decision logs, dependency maps, and capacity views.
- Create visibility into upcoming activity so that resource needs, review requirements, and stakeholder decisions can be anticipated rather than managed reactively.
- Facilitate regular portfolio-planning and prioritization discussions with Client Services, Scientific, Creative, Digital, Editorial, Finance, and other relevant functions.
- Support client-facing conversations by framing risks and trade-offs constructively and bringing solutions and options rather than simply reporting issues.
- Provide program-management expertise, clear delivery recommendations, and confident issue resolution in client-facing settings.
- Partner with project leads and department leads to anticipate resource needs, identify capacity conflicts, and agree mitigation plans before delivery is affected.
- Maintain awareness of approved scope, assumptions, and budget constraints so that delivery risks, changes, and potential out-of-scope implications are flagged promptly to Client Services.
- Coordinate with partner agencies and Assembled Intelligence functions where workstreams overlap, clarifying dependencies, handoffs, ownership, and timing.
- Identify and implement operational improvements that strengthen quality, efficiency, visibility, and collaboration across the client portfolio.
- Reinforce consistent use of BOLD’s agreed project lifecycle, review, documentation, and status-reporting practices without creating unnecessary administrative layers.
- Align regularly with UK and US team members to support smooth transitions of work where applicable.
- Create confidence through clear ownership of the integrated delivery plan, proactive communication, disciplined follow-through, and positive leadership.
Qualifications
- 7+ years of experience within a creative, digital, healthcare, or medical communications agency environment; MedComms experience is ideal but not critical.
- Demonstrated experience managing a portfolio of concurrent workstreams, not only individual projects.
- Confidence in applying different project methodologies, including Waterfall and Agile, and relevant frameworks such as Kanban and Scrum.
- Advanced portfolio tracking and visualization skills, including the ability to create clear, client-friendly Gantt charts and portfolio views.
- Ability to translate complex delivery information into concise recommendations for senior clients and agency leadership.
- Experience facilitating prioritization and scenario-planning conversations where timelines, resources, and stakeholder needs compete.
- Strong judgment in distinguishing between issues that can be resolved within the team and those requiring escalation or a client decision.
- Experience working in a matrixed agency environment across Client Services, Scientific or Content, Creative, Digital, Editorial, Finance, and Production.
- Commercial awareness, including understanding how scope, assumptions, resourcing, and changes affect delivery and financial performance.
- Advanced proficiency in portfolio-planning and project-management tools. Experience with Smartsheet, Hive, Asana, Jira, Monday.com, or comparable platforms is desirable.
- Excellent attention to detail, quality control, documentation, and tracking skills.
- Excellent written and verbal communication skills, with confidence presenting delivery recommendations and trade-offs.
- Collaborative, solutions-oriented, positive, and open to change and growth.
