Summary of Role

The Growth Team Project & Operations Coordinator works directly with the Growth Team Lead and Content Lead in the Fundraising & Marketing Division to organize, coordinate, and support projects across fundraising and marketing. This role helps turn team priorities into clear tasks, workable timelines, and consistent follow-through. Highly proficient in ClickUp, the coordinator maintains project workflows, administers shared databases, monitors progress, and helps team members stay aligned on responsibilities, deadlines, and dependencies.

The position supports collaboration across grants and foundations, corporate giving, individual giving, content creation, public relations, graphic design, and advertising, including joint initiatives that use marketing to support fundraising and recruit schools, nonprofits, and other platform users.

Key Responsibilities

Project Coordination & Progress Tracking

• Closely collaborate with both leads to translate priorities into actionable project plans, task lists, milestones, and deadlines.

• Coordinate ongoing work across fundraising and marketing, keeping task ownership, next steps, and dependencies clear.

• Monitor progress, follow up on outstanding tasks, flag delays, resource gaps, or decisions requiring leadership attention.

• Prepare concise progress updates that give team leads visibility into accomplishments, upcoming deadlines, and blockers.

• Support team meetings by preparing agendas, recording decisions, and tracking action items.

ClickUp Administration & Workflow Improvement

• Maintain and improve the team’s ClickUp workspace, including project structures, task templates, statuses, dashboards, and recurring workflows.

• Keep task lists accurate, current, and easy to navigate, reducing duplication and ensuring completed or outdated work is properly closed or archived.

• Help team members use ClickUp consistently and effectively.

• Identify opportunities to simplify processes and use appropriate automations to reduce routine administrative work.

Database & Information Management

• Maintain organized, accurate databases and trackers for funding opportunities, prospects, contacts, campaigns, and other team activities.

• Coordinate updates with relevant team members and help establish consistent practices for data entry and maintenance.

• Keep shared documents, project materials, and records accessible and connected to the relevant work.

• Handle donor, prospect, and organizational information with appropriate care and confidentiality.

Cross-Team Support

• Coordinate shared timelines and handoffs between fundraising initiatives and the marketing activities supporting them.

• Help organize requests for content, design, publicity, advertising, and campaign materials.

• Track deliverables for fundraising campaigns and platform-user recruitment initiatives.

• Provide practical administrative and coordination support as team priorities evolve.

Qualifications & Skills

• Strong working proficiency in ClickUp, including workspace organization, task management, dashboards, and workflow setup.

• Experience coordinating projects, administering team operations, or supporting multiple workstreams.

• Excellent organizational skills, attention to detail, and reliable follow-through.

• Ability to maintain databases, spreadsheets, and shared project records accurately.

• Clear, proactive communication and confidence following up with colleagues across different functions.

• Ability to recognize competing priorities, identify bottlenecks, and escalate issues appropriately.

• Comfort working independently while remaining closely aligned with team leadership.

• Familiarity with nonprofit fundraising, marketing, or volunteer-based teams is helpful.

What Success Looks Like

Team members know what needs to happen, who owns it, and when it is due. ClickUp and shared databases provide a dependable view of current work. Fundraising and marketing activities stay coordinated, blockers surface early, and team leaders have the information they need to guide priorities and maintain momentum.

What We Offer

• Meaningful impact on global causes and communities

• A vibrant, multicultural team spanning 70+ countries

• A supportive environment rooted in compassion, integrity, innovation, and collaboration
