About The Role
As Head of Marketing Production & Operations, you will establish and run Sybilla’s marketing production function, taking operational ownership of the production framework, team and its ongoing performance.

You will report directly to the CEO and lead Marketing and Communications Coordinator(s) and future production resources. You will also manage a network of external production partners and coordinate internal contributors from Strategy, Commercial, Product, Operations and Leadership.

Your focus will be on turning approved priorities into structured production plans and ensuring that marketing outputs are delivered consistently, efficiently and to a high standard. You will own production workflows, resource planning, supplier management, quality controls, production governance and delivery visibility across content, publications, campaigns and events.

This is an operational leadership role. You will not own corporate, brand or growth strategy, but you will make sure that agreed strategic priorities are translated into well-managed, high-quality and market-ready outputs.

What You Will Do
  • Own Sybilla’s marketing production framework, ensuring that workflows, templates, assets, publishing processes, repositories, version control and quality controls are organized, consistent and effective.
  • Own the marketing production calendar and translate approved priorities from Strategy, Commercial, Product, Operations and Leadership into structured production plans, schedules and deliverables.
  • Coordinate and drive the development, production and controlled distribution of strategic reports, white papers, market analyses, executive briefings and other thought-leadership materials.
  • Manage workload, capacity, resource allocation and delivery across presentations, reports, brochures, product sheets, proposals, campaigns, digital content, photography, video, publications and event materials.
  • Own the company event portfolio and event intake process, evaluating and prioritizing participation based on strategic objectives, business impact, budget, production capacity and subject-matter-expert availability.
  • Coordinate event production and readiness, including annual planning, materials, exhibition systems, logistics and structured post-event follow-up.
  • Lead, develop and manage Marketing and Communications Coordinator(s) and future production resources, setting clear objectives, responsibilities, operating procedures and development plans.
  • Select, brief and manage agencies, designers, photographers, videographers, printers, event suppliers and other production partners, including quotes, contracts, performance and quality assurance.
  • Lead the phased handover of marketing production systems, processes and supplier relationships established with our strategic communications partner, taking full operational ownership following implementation.
  • Run production systems for recurring publications, website and newsroom content, sales-material libraries, data-visualization assets, campaigns and events.
  • Maintain appropriate approval, compliance, distribution-classification and information-security processes for externally published material.
  • Plan and control the marketing production budget together with the CEO and CFO, maintaining production dashboards and providing regular performance and status reporting.
  • Support the continued scaling of the Marketing Production & Operations function through recruitment, capability development, tools, training and team growth.
  • Prepare marketing-production inputs required for promotional grants, de minimis aid and EU/EDF project promotion budgets in cooperation with relevant stakeholders.
What You Bring
Must-have
  • 5-8+ years of experience in marketing production, marketing operations, studio or production management, communications operations, or agency production/account management.
  • Experience leading a small team and working with external suppliers.
  • Proven experience building or improving production systems, including templates, asset libraries, workflows, standard operating procedures and approval chains.
  • Hands-on production literacy across print, digital, presentations, photography, video, motion and event formats, with the ability to brief and quality-check specialist suppliers.
  • Strong project, budget and vendor-management skills, including briefs, quotes, tenders, contracts, cost control and supplier performance management.
  • Excellent written and verbal English - C1 level or equivalent.
  • A structured, calm and deadline-driven approach, with strong judgement, precise written communication and the ability to maintain high standards under pressure.
Nice to Have
  • Experience producing materials for institutional, B2B, B2G or technical audiences; experience in government, defence, space, engineering, science or deep-tech is an advantage.
  • Experience leading a small team and managing a broader network of external suppliers.
  • Publishing or editorial-production experience, including coordination of authors, data visualization, design, translation, distribution and recurring publication schedules.
  • Confident use of project-management and collaboration tools such as ClickUp, Asana or Jira, as well as SharePoint or Teams.
  • Working familiarity with design, CMS and mailing tools.
  • Awareness of data visualization, web-content operations, SEO basics, newsroom operations or basic photo/video production.
  • Experience in a start-up or scale-up environment where cost discipline and operational efficiency matter.
  • A genuine interest in technology, astronomy or space.
What We Offer
  • Remote employment model, with regular presence at HQ (4-8 times per year) and attendance at relevant events.

  • Compensation:
    • Poland: PLN 16,000-23,000 gross/month (Employment Contract) or PLN 124-178 net/h (B2B)
    • EU: EUR 4,800-6,900 gross/month (Employment Contract) or EUR 37-53 net/h (B2B)
    • The final compensation package depends on professional experience, qualifications, seniority, employment model and applicable local market conditions.
