Advanced Marketing and Sales is a U.S.-based growth and automation company serving independent home-care, home-health, and senior-care organizations.
We help agencies improve the front end of their growth operations: inquiry response, referral follow-up, intake visibility, lead tracking, CRM organization, and staff-supervised automation workflows.
Our work is administrative, operational, and business-development focused. We do not provide patient care, clinical advice, diagnosis, treatment, eligibility decisions, or medical guidance.
The opportunity
We are seeking a highly organized, detail-oriented Home Care Growth & Intake Operations Specialist — Remote VA to help build and maintain our agency-prospecting, CRM, and outreach systems.
You will research qualified home-care, home-health, and senior-care organizations; identify likely decision-makers; organize accurate prospect information in GoHighLevel; prepare personalized outreach drafts; track follow-up activity; and maintain clear pipeline visibility.
This role is ideal for someone with experience in healthcare administration, home care, home health, intake, scheduling, referrals, staffing, CRM operations, lead research, or virtual assistance who enjoys turning research into organized action.
What you will do

Research independent home-care, home-health, hospice, senior-living, and selected senior-care organizations across the United States, beginning with Florida and other priority markets.

Use public sources such as company websites, Google, Google Maps, LinkedIn, LinkedIn Sales Navigator, Apollo.io, job boards, association/provider directories, and state licensing directories.

Identify likely decision-makers and operational influencers, including owners, founders, administrators, executive directors, operations leaders, intake/referral leaders, business-development leaders, community liaisons, and marketing leaders.

Distinguish genuine care-provider organizations from software vendors, staffing-only companies, billing firms, generic marketing agencies, hospitals, and unrelated businesses.

Identify public growth and workflow signals, including intake or scheduling job postings, service-area expansion, new facilities, referral pathways, online lead-capture opportunities, active hiring, new licenses, and stated service offerings.

Create and maintain accurate prospect records in GoHighLevel, including contacts, tags, notes, custom fields, tasks, opportunity stages, next-action dates, and source information.

Prepare personalized email, LinkedIn, and follow-up drafts using approved messaging templates and only publicly verifiable information.

Track outreach activity, responses, requested scorecards, completed scorecards, booked calls, follow-up dates, and pipeline status accurately.

Prepare concise daily activity reports and weekly pipeline summaries.

Follow approved procedures for opt-out requests, do-not-contact records, confidentiality, data handling, and CRM accuracy.

Support staff-supervised, non-clinical CRM and workflow processes.

Perform other related administrative, research, and operations-support tasks as assigned.
What you will not do
This role has clear boundaries. You will not:

Provide patient care, clinical advice, diagnosis, treatment, medical guidance, or clinical triage.

Make decisions about patient eligibility, patient admission, care plans, insurance coverage, or treatment.

Contact patients or represent yourself as a healthcare provider.

Request, store, upload, or share patient names, diagnoses, medical records, insurance details, referral documents, or protected health information in general CRM, outreach, spreadsheet, or AI tools.

Access company financial accounts, payment processing, legal agreements, or client systems without specific written approval.

At least 1 year of experience in one or more of the following areas:

Home care or private-duty care

CRM support, B2B lead generation, prospect research, or virtual assistance

Strong written and spoken English, with the ability to write clear, professional, respectful business messages.

Experience using CRM software, spreadsheets, email, calendars, cloud documents, and browser-based tools.

Strong internet research skills using Google, LinkedIn, company websites, job boards, public directories, and social/business profiles.

Strong attention to detail and ability to enter accurate data consistently.

Ability to follow written processes, meet deadlines, manage recurring tasks, and communicate blockers early.

Comfortable working independently while providing concise daily and weekly reports.

Available for at least 20 hours per week, Monday through Friday, with at least 3–4 hours of regular overlap with U.S. Eastern Time business hours.

Reliable computer, stable high-speed internet connection, headset, and professional remote-work environment.

Preferred qualifications

Previous work as an intake coordinator, referral coordinator, home-care scheduler, patient-services coordinator, office coordinator, healthcare administrative assistant, home-care marketer, community liaison, healthcare recruiter, or healthcare virtual assistant.

Experience with GoHighLevel, Apollo.io, LinkedIn Sales Navigator, HubSpot, Zoho CRM, Salesforce, Pipedrive, or similar systems.

Experience using Google Sheets, Microsoft Excel, Google Workspace, Microsoft 365, ClickUp, Asana, Trello, Slack, or similar tools.

Familiarity with home-care software such as AxisCare, WellSky, Homecare Homebase, AlayaCare, CareSmartz360, ShiftCare, or HHAeXchange.

Experience with lead-list building, data cleanup, CRM pipelines, email follow-up, appointment coordination, and business-development support.

Familiarity with AI tools used responsibly for drafting, research support, summarization, and administrative workflow—not clinical decision-making.
Hours and working arrangement
