About the Role

The Human Resources Associate will support the development and day-to-day operations of Vexnovate Ventures' Human Resources function.

This role offers hands-on experience in recruitment, onboarding, employee records, HR operations, volunteer management, employee engagement, performance management, and HR process development within an early-stage, fully remote organization.

You will work closely with the Head of People Operations to implement HR processes, maintain accurate records, support employees and volunteers, and help build scalable people practices from the ground up.

This role is suited to an HR professional who is organized, proactive, comfortable with technology, eager to learn, and able to work independently in a remote environment.

Key Responsibilities

HR Operations & Administration

  • Support the day-to-day administration of HR activities and processes.

  • Maintain accurate and up-to-date employee and volunteer records.

  • Assist with HR documentation, letters, forms, and internal HR communications.

  • Support leave, attendance, and other HR administrative processes.

  • Organize and maintain HR files and documentation systems.

  • Respond to routine employee and candidate HR inquiries and escalate matters when required.

Recruitment & Talent Acquisition

  • Support end-to-end recruitment activities across the organization.

  • Prepare and publish job descriptions and vacancy announcements.

  • Screen applications and maintain candidate pipelines.

  • Coordinate interviews and communicate with candidates throughout the recruitment process.

  • Maintain accurate recruitment records and update the applicant tracking system (ATS).

  • Support candidate onboarding and recruitment reporting.

  • Assist with employer-branding and talent-attraction initiatives.

Onboarding & Offboarding

  • Support the onboarding of new employees and volunteers.

  • Prepare onboarding documentation and checklists.

  • Coordinate onboarding activities, introductions, and required HR documentation.

  • Ensure new team members have the information and resources required to get started.

  • Support offboarding activities, including documentation, exit processes, and record updates.

Volunteer Management

  • Support the implementation and administration of the company's volunteer management program.

  • Maintain accurate volunteer records and participation information.

  • Support volunteer recruitment, screening, onboarding, and engagement.

  • Track volunteer activities, contributions, and participation.

  • Assist with volunteer communications and recognition initiatives.

  • Support the development and improvement of volunteer management processes.

Employee Experience & Engagement

  • Support initiatives designed to improve employee and volunteer experience.

  • Assist with employee engagement activities, surveys, and feedback collection.

  • Support internal HR communications and people-related announcements.

  • Help coordinate virtual team-building, engagement, and recognition activities.

  • Identify employee experience concerns and escalate them appropriately.

Performance & Development Support

  • Assist with the administration of performance management processes.

  • Support the tracking of key performance indicators (KPIs), objectives and key results (OKRs), performance reviews, and development activities.

  • Help maintain performance-related records and documentation.

  • Support training and learning initiatives.

  • Assist with employee development and engagement activities.

HR Systems & Process Improvement

  • Support the implementation and maintenance of HR systems, including the HR information system (HRIS) and ATS.

  • Identify opportunities to simplify, standardize, and automate HR processes.

  • Maintain HR trackers, databases, and reporting documents.

  • Use Google Workspace and other approved digital tools to support HR operations.

  • Use appropriate AI tools to improve productivity while maintaining confidentiality and carefully reviewing outputs.

  • Assist with documenting HR processes, standard operating procedures (SOPs), workflows, and guidelines.

HR Compliance & Documentation

  • Support the maintenance of HR policies, procedures, employee handbooks, and related documentation.

  • Assist with maintaining employee records in accordance with company requirements.

  • Support HR compliance activities and escalate potential compliance concerns to the Head of People Operations.

  • Handle employee information with appropriate confidentiality and professionalism.

Role Deliverables

  • Up-to-date ATS and HRIS information.

  • Effective administration of the volunteer program.

  • Timely HR communications and employee support.

  • Support for employee engagement and performance activities.

  • Continuous improvement of HR processes and workflows.

Qualifications & Experience

  • A degree, diploma, or relevant training in Human Resources, Business Administration, Industrial Relations, Psychology, Management, or a related field is preferred but not required.

  • One to three years of experience in HR, People Operations, recruitment, administration, or a related role is preferred.

  • Early-career HR professionals with relevant practical experience, internships, volunteer experience, or HR certifications are encouraged to apply.

  • Basic understanding of HR operations, recruitment, employee lifecycle processes, and HR documentation.

  • Experience using an ATS, HRIS, Google Workspace, Slack, or similar workplace tools is an advantage.

  • Comfort learning and working with new HR technologies.

  • Basic understanding of HR compliance and employment practices.

  • Strong organizational and administrative skills.

  • Excellent written and verbal communication skills.
