The Role
We are looking for an experienced HR operations professional to join co:grow full-time as an HR Operations Specialist.
You will support co:grow's Fractional HR Leaders in delivering reliable, responsive HR operations across several clients. Your work will cover the full employee lifecycle, from preparing employment documents and coordinating onboarding to maintaining employee records, supporting recurring HR processes and managing offboarding.
Working as an extension of each client's team, you will adapt to their policies, systems and ways of working while applying co:grow's practices to deliver a consistent, high-quality employee experience.
This role suits someone who enjoys making things work well, can manage detail across multiple client environments and takes pride in turning HR processes into dependable day-to-day experiences.

You will work across client schedules and communicate regularly with Fractional HR Leaders, client stakeholders and employees through email, messaging and virtual meetings. The role requires sufficient overlap with Singapore business hours to support timely client and employee needs.

The Role

You will support co:grow's Fractional HR Leaders in delivering reliable, responsive HR operations across several clients. Your work will cover the full employee lifecycle, from preparing employment documents and coordinating onboarding to maintaining employee records, supporting recurring HR processes and managing offboarding.

Key Responsibilities
Employee Lifecycle Support
- Prepare employment contracts, offer letters, employee correspondence and other HR documentation
- Coordinate onboarding activities so new employees have the information, access and support they need
- Maintain accurate employee records and ensure changes are reflected across relevant systems
- Track probation periods, contract renewals, work anniversaries and other employee lifecycle milestones
- Support employee changes such as promotions, transfers, compensation updates and changes to working arrangements
- Coordinate offboarding, including documentation, access removal, final-pay inputs and exit processes
- Respond to routine employee and manager questions clearly and promptly
- Administer leave, benefits and other recurring people processes
- Prepare and check payroll inputs, working closely with clients and external payroll providers
- Support employment-pass, Employer of Record or other employment-administration processes where relevant
- Maintain HR systems, employee files, trackers and document repositories
- Help clients keep policies, templates and process documentation accurate and accessible
- Support recurring HR activities such as performance-review cycles, employee surveys and compliance exercises
- Produce regular HR reports and identify incomplete, inconsistent or overdue information
- Manage HR operational activities across multiple co:grow clients and competing priorities
- Adapt to each client's systems, policies, approval processes and preferred ways of working
- Work closely with Fractional HR Leaders to understand priorities and carry agreed actions through to completion
- Keep clients and internal stakeholders updated on progress, dependencies and potential risks
- Handle employee and client information carefully, maintaining confidentiality across accounts
- Identify when an issue requires judgement or escalation rather than treating it as a routine administrative request
- Build and maintain practical workflows, checklists, templates and standard operating procedures
- Identify opportunities to simplify manual work and improve accuracy, consistency or employee experience
- Use AI and automation thoughtfully to improve efficiency, while checking outputs for accuracy, context and confidentiality
- Look beyond the immediate request to understand the underlying need, identify risks and recommend a practical way forward
- Question processes that are unclear, inefficient or no longer fit for purpose, rather than following them by default
- Check documents and data carefully before they reach employees, managers or external providers
- Contribute to co:grow's HR operations tools, knowledge base and delivery practices
- Share learning across the team to strengthen the quality of client delivery
Experience & Skills
- At least 3 years of experience in HR operations, people operations, HR shared services or HR administration
- Practical experience supporting employee lifecycle processes from onboarding through offboarding
- Experience preparing HR documents and maintaining employee data with a high degree of accuracy
- Familiarity with payroll inputs, leave, benefits and recurring HR processes
- Confidence using HR information systems, spreadsheets and collaborative workplace tools
- Practical fluency with AI tools and an understanding of how to use them responsibly in HR work
- Ability to structure information, work through ambiguity and turn an unclear request into a practical course of action
- Strong organisation and attention to detail, with the ability to manage multiple deadlines
- Clear written and verbal communication
- Sound judgement about when to act independently, when to challenge an approach and when to seek guidance
- Experience working across multiple clients, entities or countries would be advantageous
- Familiarity with Singapore employment practices would be advantageous
