Position Summary:
The HR Administrator will play a pivotal role in driving the success of our HR operations by owning recurring administrative processes and ensuring data accuracy across the employee lifecycle. Moving beyond basic coordination, this role requires an understanding of how HR operational excellence impacts the broader organization. The successful candidate will proactively identify and resolve discrepancies, recommend process improvements, and manage critical workflows involving payroll, onboarding, vendor management, and employee experience.

Major Duties and Responsibilities

  • Review HR operational and payroll data for completeness and accuracy, ensuring monthly payroll cycles are completed accurately and on schedule.
  • Identify payroll or onboarding discrepancies and proactively coordinate resolution with internal stakeholders and external vendors.
  • Monitor recurring operational activities, taking ownership of the outcomes and escalating complex issues appropriately.
  • Recommend process improvements to increase operational efficiency and enhance the employee experience.
  • Maintain, update, and improve HR operational procedures and documentation to ensure organizational consistency.
  • Manage employee onboarding and payroll readiness workflows, including employment documentation, onboarding tickets, orientation, and pre-start readiness.
  • Assist with onboarding and knowledge sharing for new HR team members.
  • Own the tracking and coordination of employee-related payments and travel expenses, collaborating closely with Finance to ensure timely processing.
  • Manage HR/admin vendors and recurring operational matters independently, including invoice tracking, reconciliation, service renewals, and ongoing communication.
  • Support global mobility and business travel logistics for employees and senior stakeholders, ensuring compliance with visa-related documentation and alignment with executive assistants.
  • Coordinate recruitment administration, employee team-building activities, internal initiatives, and local workshops.
  • Oversee office administration workflows, coordinating directly with landlords, travel agencies, insurers, and other service providers.

Qualifications

  • 2–4 years of experience in HR administration, HR operations, office administration, or a similar role.
  • Proven ability to analyze issues, exceptions, or discrepancies and recommend effective solutions.
  • Strong attention to detail with explicit accountability for the quality and accuracy of work products.
  • High degree of autonomy and reliability; capable of owning recurring timelines, follow-ups, and documentation rather than just executing assigned tasks.
  • Comfortable coordinating and communicating effectively with HR, Finance, employees, candidates, external vendors, and cross-functional stakeholders.
  • Hands-on approach with the flexibility to support operational HR initiatives and administrative responsibilities.
  • Good communication skills in English and Chinese.

Preferred Experience

  • Experience working directly with payroll vendors, HR/admin vendors, or managing complex employee-related data.
  • A track record of identifying operational bottlenecks and implementing process improvements.

Required Education

  • Bachelor’s degree required in Human Resources, Business Administration, or a related field (or equivalent practical experience).
