Description

Beveridge & Diamond (B&D) seeks a Human Resources Coordinator to provide day-to-day administrative and operational support to our Talent and Human Resources department. The Coordinator will support employee services, personnel records, benefits administration, compliance coordination, and HR projects. Working closely with the Senior Manager of Human Resources and Benefits and Leave Specialist, this role requires excellent organization, discretion, responsiveness, attention to detail, and follow-through. The Coordinator partners with the HRIS Analyst, who owns system-based employee lifecycle activities and Paylocity data changes.

Responsibilities

HR Administration and Employee Services

  • Monitor designated HR inboxes and respond to routine employee and manager inquiries; document requests, provide timely follow-up, and escalate sensitive or complex matters.
  • Process authorized employment and income verifications, employment history requests, and standard employee letters in accordance with confidentiality and release procedures.
  • Prepare routine HR correspondence, employment change notifications, and approved employee communications; coordinate distribution and retain supporting records.
  • Administer routine employee recognition and payment programs, including milestone anniversaries, anniversary reimbursements, and referral bonus documentation, coordinating approvals and payment requests as needed.
  • Provide scheduling, meeting coordination, administrative follow-up, and general departmental support to HR leadership and the Benefits Specialist.
  • Coordinate responses to state unemployment insurance claims and requests for separation information, gathering documentation and routing responses for review and approval by HR leadership by the required deadline.

Benefits and Employee Programs Administration

  • Support the Benefits and Leave Specialist with routine benefits inquiries, enrollment and qualifying life event documentation, employee reminders, follow-up, and open enrollment communications and logistics.
  • Collect and organize benefits-related forms, correspondence, invoices, and supporting documentation; assist with routine vendor follow-up and administrative reconciliations as directed.
  • Coordinate approved benefits communications and track outstanding employee actions; refer plan interpretation, eligibility determinations, disputed claims, and complex matters to the Benefits Specialist.

Employee Lifecycle and Records Management

  • Coordinate administrative onboarding activities after handoff from the HRIS Analyst, including approved new-hire communications, follow-up on and filing of signed wage notices and policy acknowledgments, and filing of completed documents. Serve as a backup to the HRIS Analyst for pre-onboarding and system-issued onboarding documents in Paylocity.
  • Prepare and maintain approved employment change letters, promotion and title-change documentation, and related employee communications without processing HRIS master-data changes.
  • Coordinate departure communications, standard separation documents, employee-facing administrative steps, and completion of non-system offboarding checklists; partner with the HRIS Analyst on data-dependent tasks.
  • Maintain orderly, confidential personnel files and administrative records, including offer documents, acknowledgments, signed job descriptions, and retention-related documentation; identify missing items and coordinate follow-up.

Leave, Accommodations and Workers’ Compensation Support

  • Provide administrative coordination for employee leave and workplace accommodation matters, including scheduling, approved communications, confidential documentation collection, deadline tracking, and follow-up under HR leadership direction.
  • Support leave and return-to-work administration by tracking required forms, outstanding employee or provider documentation, and approved next steps; refer eligibility, legal, medical, and accommodation determinations to the responsible HR professional.
  • Assist with workers' compensation administration by organizing incident and claim documentation, coordinating routine communications with brokers, carriers, and internal contacts, and tracking outstanding claim-related items.
  • Maintain restricted access and appropriate confidentiality for sensitive medical and employee relations information.

Compliance, Reporting and Administrative Coordination

  • Maintain administrative compliance calendars and trackers for recurring deadlines, required workplace postings, notices, recordkeeping activities, and periodic audits; flag overdue or potentially noncompliant items.
  • Track completion of state-mandated and firm-required employee training, such as harassment prevention training, including assignment reminders, completion records, and escalation of overdue items.
  • Organize I-9 and E-Verify supporting records and assist with documentation audits as directed, while the HRIS Analyst retains responsibility for launching and completing designated system workflows.
  • Coordinate supporting documentation and review timelines for EEO and other required HR reporting; obtain system-generated data from the HRIS Analyst and route submissions for designated review and approval.
  • Coordinate bar admission and renewal administrative tracking, firm-paid dues and invoices, required reminders, and record filing where assigned to HR.
  • Prepare administrative summaries, maintain employment change distribution records, and support routine audit and information requests without owning HRIS reporting or system data maintenance.

HR Projects, Process Improvement and Departmental Support

  • Coordinate assigned smaller-scale HR projects, maintain schedules and action trackers, communicate progress, and follow through on deliverables and outstanding dependencies.
  • Develop, organize, and maintain HR standard operating procedures, checklists, templates, and process reference materials to support consistent service delivery.
  • Identify practical opportunities to streamline recurring administrative processes, improve documentation quality, and strengthen employee service; recommend changes for review.
  • Collaborate with HR leadership, the Benefits Specialist, HRIS Analyst, Recruiting, Payroll, Finance, IT, and other stakeholders to complete assigned administrative work without duplicating functional ownership
  • Provide backup support to the Recruiting team for interview scheduling and candidate logistics as assigned, if requested.
  • Support HR team invoice processing, check requests, and visa reconciliation.
  • Perform other related duties as assigned.

Requirements

  • Strong organizational skills, attention to detail, confidentiality, customer service, and written and verbal communication.
  • Ability to manage competing deadlines, maintain accurate records, and follow established procedures while recognizing issues requiring escalation.
  • Proficiency with Microsoft Office and comfort learning HR information systems and reporting tools.
  • Bachelor's degree or equivalent combination of education and relevant experience.
  • 3 or more years of administrative, human resources, benefits, or related operational experience.
  • Experience handling confidential information and coordinating detail-oriented administrative processes.
  • Familiarity with personnel records and employment verification requests, plus at least one of the following: benefits administration, leave coordination, or workers' compensation coordination.

Preferred

  • Experience in a professional services or law firm environment.
  • Experience supporting HR administration in Paylocity or a comparable HRIS environment, without requiring responsibility for system administration.
  • Broader exposure across benefits, leave, workers' compensation, and HR compliance tracking.
  • PHR, aPHR, SHRM-CP, or progress toward an HR certification.
