We are seeking a talented and results-driven HR Specialist (Onboarding & Employee Experience) with strong full life cycle onboarding expertise to help create a seamless and engaging employee experience from offer initiation through successful integration into the organization.

Position Summary

The HR Specialist will be responsible for managing the end-to-end onboarding process for consultants, contractors, and internal employees. The ideal candidate will have experience supporting a fast-paced staffing environment, handling multiple onboarding activities simultaneously, ensuring compliance, and delivering exceptional candidate experience.

This role requires strong organizational skills, attention to detail, excellent communication, and a passion for employee engagement and HR operations.

Key Responsibilities

Full Life Cycle Onboarding

• Manage the complete onboarding process from offer initiation through employee integration.
• Coordinate pre-employment requirements, including background checks, employment verification, drug screenings, and I-9 processing.
• Facilitate new hire orientation and onboarding sessions.
• Prepare and distribute onboarding documents and new hire packets.
• Ensure completion and accuracy of employee records in HRIS and ATS systems.
• Partner with recruiters, account managers, hiring managers, and payroll teams to ensure a smooth onboarding experience.

HR Operations & Compliance

• Maintain compliance with federal, state, and local employment laws.
• Ensure accurate documentation and audit-ready employee files.
• Manage employee status changes, offboarding activities, and HR documentation.
• Track onboarding metrics and identify opportunities for process improvements.
• Support policy implementation and employee communications.

Employee Experience

• Serve as a primary point of contact for new hires during the onboarding process.
• Respond to employee questions regarding benefits, policies, payroll, and HR procedures.
• Promote a positive and engaging employee experience.
• Support employee engagement initiatives and retention programs.

Qualifications

• Bachelor's degree in Human Resources, Business Administration, or related field.
• 3+ years of HR experience with at least 2 years managing full life cycle onboarding in a staffing, consulting, or professional services organization.
• Proven experience onboarding W-2 consultants, contractors, and direct-hire employees.
• Strong knowledge of I-9 verification, E-Verify, employment eligibility requirements, and employment compliance.
• Experience coordinating background checks, drug screenings, employment verifications, and client-specific onboarding requirements.
• Hands-on experience with HRIS, ATS, and onboarding platforms (e.g., Keka, JobDiva, Workday, ADP).
• Ability to manage high volume onboarding cases while meeting tight deadlines.
• Strong understanding of payroll onboarding processes and employee documentation.
• Excellent communication and stakeholder management skills.
• Advanced proficiency in Microsoft Excel, Outlook, Teams, and Word.

Preferred Qualifications

• Experience working in an IT staffing, technology consulting, or workforce solutions company.
• Experience onboarding W-2 consultants, contractors, and direct hires.
• Experience supporting remote and multi-state workforce onboarding.
• Knowledge of E-Verify, background screening platforms, and onboarding automation tools.
• Knowledge of vendor management systems (VMS) and MSP environments.
• HR certification is a plus.
• Experience supporting remote and distributed workforce onboarding.
