The position supports global learning initiatives by managing the Learning Management System (LMS), handling training logistics, and providing high-quality administrative and customer service support to learners and internal stakeholders. Responsibilities Manage the Global Learning & Development inbox by fielding questions, forwarding requests to appropriate contacts, and assisting with LMS-related troubleshooting. Administer training invitations and enrollment processes, including checking registrations, creating and sending invitations, ensuring all necessary attachments are included, and monitoring registration volume. Handle training marketing activities to promote learning programs and drive participation across the organization. Pull attendance reports from the LMS and accurately mark training completions to maintain up-to-date learning records. Coordinate logistics for in-person training sessions, including ordering catering, arranging professional printing, organizing training materials, and coordinating guest speakers. Manage survey completions by tracking responses, monitoring completion rates, and sending follow-up emails as needed to ensure adequate feedback is collected. Configure and maintain courses in the Learning Management System, including updating existing courses and adding or editing new courses as required. Administer transcript records by enrolling, reassigning, and unenrolling users from courses, learning plans, and certifications in the LMS. Troubleshoot user access issues, including assisting with login problems and ensuring learners can successfully access training content. Support department learning administrators with advanced LMS administration functions, such as managing customer groups, certifications, and enrollment rules. Perform additional administrative duties and learning operations tasks as assigned to support the overall effectiveness of the Global Learning & Development function. Essential Skills Strong verbal and written communication skills to interact effectively with learners, stakeholders, and team members. Excellent attention to detail to ensure accurate course configurations, records, invitations, and reporting. Customer service orientation and strong interpersonal skills to support learners and internal partners in a professional and responsive manner. Ability to work independently, prioritize tasks, and manage time effectively in a fast-paced environment. Previous experience with Learning Management Systems (LMS) and training operations. Proficiency with computer applications, including Microsoft Word, PowerPoint, and Excel. Bachelor's degree in a relevant field or equivalent combination of education and experience. 5–7 years of administrative and/or customer service-related experience. Additional Skills & Qualifications Experience or interest in human resources, learning and development, HR administration, or related fields. Experience supporting global or multi-site learning programs. Familiarity with managing certifications, learning plans, and complex enrollment rules within an LMS. Ability to collaborate effectively within a small team environment and contribute to continuous improvement of learning processes. Comfort working with data, reports, and survey feedback to support training evaluation and follow-up. Understanding of general administrative best practices and documentation standards. Ability to maintain confidentiality and handle sensitive information appropriately. Work Environment This is a temporary, full-time role with a defined assignment period and no planned conversion. The position operates on a 40-hour workweek, with standard hours from 8:00 a.m. to 5:00 p.m. Pacific Time. The role is structured as hybrid in Irvine, with three days per week onsite, and offers flexibility for remote work as long as the contractor can consistently work 8:00 a.m. to 5:00 p.m. PST. You will join a small, collaborative team currently consisting of two members and expanding by one with this role. Work is primarily performed using a Learning Management System and standard office software such as Microsoft Word, PowerPoint, and Excel, in a professional office or home-office setting. The environment emphasizes accuracy, responsiveness, and partnership with learning administrators and business stakeholders, with expectations for professional attire appropriate to an office and virtual meeting context. Job Type & Location This is a Contract position based out of Irvine, CA. Pay and Benefits The pay range for this position is $36.00 - $38.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
