Position Summary

Spectra Management is seeking a dedicated I-9 Compliance Specialist to support one of our premier clients in the healthcare industry. In this role, you will oversee, execute, and audit end-to-end Form I-9 verification workflows to ensure strict adherence to federal employment eligibility regulations and high healthcare compliance standards. This position serves as an essential operational liaison among healthcare professionals, hiring managers, and HR, ensuring all employment authorization documentation is verified with accuracy, efficiency, and utmost discretion.

Key Responsibilities

  • Email & Inquiries Administration: Manage, prioritize, and respond promptly to high-volume inquiries regarding Form I-9 compliance, document deadlines, and employment eligibility.
  • Healthcare Staff & Employee Engagement: Proactively connect with incoming healthcare personnel and new hires to request required documentation, explain acceptable document combinations, and conduct systematic follow-ups until pending cases achieve full compliance.
  • Management & Stakeholder Coordination: Collaborate directly with healthcare hiring managers and cross-functional teams to resolve complex documentation discrepancies, escalate urgent compliance matters, and streamline the onboarding pipeline.
  • Compliance Auditing & Quality Control: Perform rigorous reviews and internal audits of Form I-9 submissions to identify clerical errors, missing data, and expiring work authorization documents.
  • End-to-End Case Management: Own, track, and monitor assigned verification cases from initial notice through final disposition within established service-level agreements (SLAs).
  • Document Verification & Processing: Validate and authenticate identity and work authorization documents in accordance with federal Lists of Acceptable Documents (List A, B, and C).
  • HRIS & Data Integrity: Maintain and update employee profiles, audit logs, and compliance records across internal HR systems with high accuracy and timely data entry.
  • Administrative Operations: Deliver comprehensive administrative support for reverification processes (Section 3), record retention protocols, and ongoing compliance reporting.

Qualifications & Competencies

  • Language Proficiency:
Professional fluency in English (verbal and written) is strictly required. Candidates must possess excellent business communication skills to converse comfortably with US-based healthcare personnel, leadership, and external partners.
  • Availability & Location: Ability to work standard US-EST business hours (Monday to Friday, 9:00 AM – 6:00 PM US-EST) in a remote/hybrid setup based in Santiago, Dominican Republic or the Philippines.
  • Industry & Domain Knowledge: Prior hands-on experience managing Form I-9 compliance, reverifications, and federal employment eligibility verification standards; prior experience in healthcare staffing or clinical onboarding is a strong plus.
  • Document Acumen: Familiarity with acceptable identity and employment authorization credentials, including foreign passport classifications, employment authorization documents (EADs), and permanent resident cards.
  • Detail Orientation: Exceptional analytical precision and scrutiny in reviewing legal documentation, detecting discrepancies, and maintaining audit-ready records.
  • Organizational Execution: Demonstrated ability to manage high-volume case queues, prioritize competing deadlines, and maintain thorough case follow-up.
  • Technical Savvy: Proficiency in navigating HRIS platforms, internal applicant/employee databases, and professional email suites.
  • Confidentiality & Ethics: Uncompromising commitment to safeguarding Personally Identifiable Information (PII) and maintaining sensitive personnel records with absolute discretion.
