We are seeking a detail-oriented, compassionate, and highly organized Immigration Intake Specialist to join our growing team. This role serves as the first point of contact for prospective clients seeking immigration services. The ideal candidate is bilingual in English and Spanish, possesses excellent communication skills, and can confidently guide potential clients through the intake process while delivering an exceptional client experience.
Key Responsibilities
Respond to inbound calls, emails, text messages, and online inquiries from prospective clients.
Conduct initial client intake interviews to gather relevant personal and case information.
Assess prospective clients using established qualification guidelines.
Clearly explain the firm's services, intake process, and next steps.
Schedule attorney or case evaluation consultations.
Accurately enter and maintain client information in the CRM and case management systems.
Follow up with prospective clients to answer questions and encourage consultation attendance.
Maintain detailed, accurate, and confidential client records.
Collaborate with attorneys, case managers, and administrative staff to ensure a smooth client onboarding experience.
Meet individual and team performance metrics, including response time, consultation scheduling, and conversion goals.
Maintain professionalism, empathy, and confidentiality in all client interactions.
Required Qualifications
Fluent in English and Spanish (spoken and written).
Must reside in Latin America and be authorized to work in your country of residence.
Minimum of 2 years of experience in intake, customer service, client relations, sales, or immigration support.
Strong verbal and written communication skills.
Excellent organizational and multitasking abilities.
Comfortable speaking with clients experiencing stressful or sensitive situations.
Strong attention to detail and accuracy.
Proficient with CRM systems, Google Workspace, Microsoft Office, and virtual communication platforms.
Ability to work independently in a remote environment.
Reliable high-speed internet connection and a dedicated home office.
Preferred Qualifications
Previous experience working for a U.S. immigration law firm.
Familiarity with immigration case types such as family-based petitions, humanitarian cases, removal defense, employment-based immigration, or naturalization.
Experience using legal case management software (e.g., Clio, Lawmatics, MyCase, Filevine, Docketwise, or similar platforms).
Sales or consultation scheduling experience.
Skills
Fluent English and Spanish speaker with minimum 2 years of intake, customer service, client relations, sales, or immigration support experience, residing in and authorized to work in Latin America.
Prior experience at a U.S. immigration law firm, familiarity with family-based petitions or humanitarian/removal defense cases, legal case management software proficiency (Clio, Lawmatics, MyCase), and sales or consultation scheduling background.
