Legal Administrative Assistant — Post-Filing & Inquiries

About the Job

As a Legal Administrative Assistant focused on Post-Filing and Inquiries, you carry the case from the moment a package leaves our office to the moment a decision comes back. You confirm filings landed, you watch every case for movement, and when a case goes quiet you are the one who pushes the agency for an answer through inquiries, Ombudsman requests, and Congressional requests. Clients feel this role directly, because it is what keeps a pending case from being forgotten.

Responsibilities

#1 Post-Filing Case Progress

  • Verify receipt notices have been received and update the data in FileVine (CRM).
  • Monitor case progress in the USCIS system to ensure submitted packages appear correctly
  • Monitor package deliveries and update tracking in FileVine
  • Confirm clients attended their biometrics appointments and record it in FileVine
  • Manage post-filing taskflows, including EAD applications and RFE submissions
  • Follow up on case decisions and communicate updates to the appropriate team members
  • Conduct regular quality checks on post-filing case files, ensuring all information is up to date and accurately recorded

#2 Inquiries and Agency Follow-Up

  • Submit USCIS inquiries, including case status, non-delivery of notices, and typographic error requests
  • Prepare and submit Ombudsman requests and Congressional requests once the assigned attorney has approved them
  • Maintain the database of USCIS inquiries, Ombudsman, and Congressional requests with submission dates, agency responses, and the next follow-up date for each
  • Follow up on every open request on schedule and escalate to the assigned attorney anything unanswered past its expected response time
  • Communicate outcomes to the assigned attorney and case team and record them in FileVine

#3 Administrative Support

  • Create and manage various documents for signature through Vinesign, when needed
  • Run appropriate FileVine reports for your specific duties and use them to surface cases with no recent movement
  • Communicate directly with team members to resolve blockers before escalating; ask questions when another team member's work is blocking yours to understand timelines, dependencies, or what you can do to help move things forward
  • Serve as backup for the Legal Administrative Assistant focused on Criminal Records and Expedites during absences and peak volume

You're the ideal fit if you:

  • Are bilingual (Spanish & English) with strong detail-oriented & communication skills.
  • Bring at least 1 year of experience in Immigration Law for U.S.-based firms.
  • Have meticulous attention to detail managing case files, government correspondence, and case status updates.
  • Are organized and able to manage multiple open cases and priorities effectively in a virtual environment.
  • Have strong technical proficiency working with case management systems and government online portals.
  • Show real follow-through — you don't let a pending case drop, and you'll keep pursuing USCIS and other agencies until there's a clear answer.
  • Communicate directly and proactively with teammates and attorneys to resolve blockers rather than letting them sit.
  • Maintain strict confidentiality when handling sensitive client and case information.

Technical Requirements

  • Candidates must have a laptop or desktop computer with 8GB RAM, Core i5 or above.
  • Integrated external webcam for virtual meetings.
  • Stable internet connection.

What's Offered

  • Monthly salary range USD $1,400 - $1,500
  • Full-time position of 40 hours per week
  • 100% Remote
  • Monday to Friday, 9:00 a.m. – 5:00 p.m. EST
  • Weekends Off
