About the Role The Implementation Project Manager is responsible for planning and implementing initiatives on time and budget work in conjunction with business leaders, stakeholders, and partners. This role provides hands-on project planning and management to ensure project goals and objectives are achieved, and that functional requirements are satisfied. The Implementation Project Manager also provides expertise in planning and communicating change, as well as mitigating risks. Primary Responsibilities Project/Program Management Developing the project plan Break down the project into manageable tasks, determine dependencies, and assign timelines and deadlines Establish a process for managing and evaluating changes to the project as it progresses Define how information will be shared among stakeholders, including what, when, how, and to whom Manage existing client project schedule of enhancements or scope expansion Maintaining the project plan Regularly track milestones and tasks to ensure the project stays on track utilizing the organization-approved PMP tool Evaluate the project's performance and make necessary adjustments to the plan Identify and resolve issues and risks utilizing appropriate cross-functional collaboration, and escalation Keep stakeholders informed about project updates and changes, as outlined in the communication plan Ensure projects must be completed on schedule, and it is essential to effectively identify, communicate, and address any risks that may hinder these goals. This requires appropriate collaboration across different functions to ensure timely mitigation strategies are implemented Ensure implementation timelines and milestones are planned appropriately, progress is monitored, and project statuses communicated internally and externally Partner with product owners to assign t-shirt sizing to the project to quickly and informally estimate the effort or complexity of the project of different tasks or stories Establish and embrace a culture that emphasizes two-way feedback, continuous quality improvement, and individual and team development Client Relationship Management Building and maintaining strong relationships with clients. Understanding client needs and ensuring alignment with project objectives. Managing client expectations and addressing any issues or concerns. Representing the company in external meetings and presentations. Serve as a subject matter expert (SME) to address the needs of both internal and external clients. Recognizing when a change request is necessary due to evolving requirements or stakeholder feedback. Documenting the proposed change, gaining formal approval from project leadership, updating project plan with the approved changes and informing all stakeholders about the modifications and their implications. Post Implementation Organize and lead daily external shake-out meetings to facilitate discussions and gather insights from external stakeholders regarding their experiences with newly implemented services. Coordinate with Implementation Process and Project Specialist on any client facing communications needed that is identified during internal shake out meetings Define the handoff process that clearly outlines roles, responsibilities, timeline, tools, and platforms Facilitate effective handoffs to ongoing client management stakeholders, including clear understanding of configurations, service level agreements (SLAs) and performance guarantees (PGs) Establish clear expectations to ensure both teams understand what the customer expects from the handoff and beyond. Utilize a standardized handoff document/template to ensure consistent information capture. Conduct an internal debrief to allow the Implementation Manager to brief the Client Success Director on the implementation process and customer interactions. Communicate with the customer to inform the customer about the handoff and introduce the new Client Success Director Develop a Shakeout tracker to monitor progress and share it with the external team. Operational Readiness It is essential to develop comprehensive training guides outlining the workflows for Operations to facilitate a successful go live. (Clinical and Non-Clinical) These guides will serve as a critical resource, ensuring that all team members are well-prepared and aligned with the processes necessary for effective implementation. Schedule and facilitate training sessions with the training of the trainers of the Operations Department. (Clinical and non-clinical) Payer training on the OneUM Portal will be conducted as requested. About You Bachelor’s Degree or relevant experience preferred Certification: Project Management Professional (PMP) certification preferred. Typical years of experience are 2-4 years of previous implementation in project management in the utilization management and/or healthcare industry. Must be skilled in applying project management techniques and have a strong understanding of project management tools and approaches to managing complex, multi-disciplinary projects. Client management skills and ability to run in person and telephonic meetings across multiple focused workstreams both internally and externally. Must be fluent in creating and managing project plans, as well as providing and meeting time estimates for the assigned task. Highly skilled in time management to facilitate involvement in multiple projects across multiple clients. Systems/Tools: MS Office Suite proficient. Must have access to a quiet, ergonomically appropriate workspace with a reliable internet connection and must protect visibility to Protected Health Information (PHI) or company sensitive information.
