Reporting to the Indirect Procurement Manager, this role works closely with internal stakeholders, freight providers, customs brokers, and suppliers to help ensure the accurate movement of goods and documentation across the supply chain. This position follows a hybrid work schedule and is expected to be onsite at our headquarters three days per week.
What you will be doing
Shipment Tracking & Status Support
- Enter shipment information into tracking systems and tools, ensuring accurate and timely updates.
- Review shipment records for completeness and identify missing information, seeking guidance when necessary.
- Send routine shipment status requests using approved communication templates and document responses received.
- Update shipment milestones, delivery dates, and status information based on verified information.
- Maintain organized and accurate freight tracking records.
- Respond to routine shipment inquiries using confirmed shipment data.
- Escalate shipment delays, conflicting information, or exceptions requiring judgment to management in a timely manner.
Import Documentation Support
- Collecting, labeling, and organizing standard import documents, including commercial invoices, packing lists, bills of lading, and certificates of origin.
- Reviewing documentation against established checklists to verify required documents are present and key information aligns with shipment records.
- Entering approved documentation details into designated tracking systems and ERP platforms.
- Identifying incomplete, inconsistent, or unfamiliar documentation and routing it to management for review.
- Maintaining organized, audit-ready electronic files in accordance with established naming conventions and filing standards.
Freight Administration & Team Support
- Preparing shipment reports, status summaries, and supporting documentation using standard templates.
- Gathering required information for freight quote requests and supporting the freight procurement process.
- Recording approved freight costs and shipment details in designated tracking systems.
- Escalating cost discrepancies, vendor service issues, compliance concerns, or other exceptions to management for resolution.
What you bring to the table
- Up to 2 years of experience in international logistics, import operations, inbound supply chain, or a related field. Experience gained through internships, co-op programs, fellowships, or early-career roles is welcome.
- Exposure to a manufacturing environment is preferred, while familiarity with customs brokerage, freight forwarding, or trade compliance is considered a plus.
- A bachelor's degree in Business, Supply Chain Management, International Trade, Analytics, Engineering, or another quantitative/STEM-related discipline.
- Strong proficiency in Microsoft Excel and the ability to quickly learn and adapt to new systems and technologies.Experience working with enterprise software, such as ERP systems, transportation management platforms, reporting tools, or customer support applications.
- Familiarity with Microsoft Dynamics NAV (Navision), Power BI, Freshdesk, EDI systems, and carrier or customs broker portals is advantageous.Excellent attention to detail, organizational skills, and the ability to manage data accurately across multiple systems.
- Strong communication skills and a collaborative approach to working across teams and with external partners.
