JOB TITLE – FIDELITY FUND COORDINATOR

Keep the Fund running smoothly. We're looking for an organised, detail-driven Fidelity Fund Coordinator who thrives on turning paperwork into progress—the dependable support behind a busy claims team. If you love keeping builders, homeowners, and assessors well-informed and every record spot on, you'll fit right in.

Work Setup: Fully onsite

Role Overview

As our Fidelity Fund Coordinator, you'll support the Technical Advisor in all aspects of claims administration—a remote, administrative role at the heart of the Fund. You'll guide builders through applications, renewals, and certificates, support homeowners through the claims process, and keep every system and record accurate, so the Fund runs reliably for everyone it serves.

Key Responsibilities

Builders

· Be the First Point of Contact: Respond to builder and non-member enquiries about the Fidelity Fund by phone and email. If builders visit onsite, other staff will take their initial details and pass them on to you.

· Keep Applications Moving: Issue application, renewal, and upgrade documentation, and review applications for completeness before they go to the external assessor.

· Partner with the Assessor: Liaise with the Fund Assessor, issue approval outcomes, and maintain accurate records.

· Coordinate the Details: Arrange meetings and inspections as required—no need to attend inspections, as the Building Advisor does that.

· Own the Certificates: Issue Fidelity Fund certificates and invoices, process certificate payments, keep accurate records, and close certificates upon project completion.

· Open the Door to Support: Provide leads to the Membership team and Master Builders Insurance Brokers, and support builder access to the client portal.

Homeowners

· Answer with Care: Respond to homeowner enquiries about claims by phone or email, depending on how they contact us.

· Guide the Claim: Issue claim forms and supporting information, and communicate claim outcomes clearly.

· Handle Excess Payments: Process excess payments and issue invoices remotely. Payments can't be taken remotely, so onsite staff will collect them.

· Track the Costs: Maintain accurate records of claim costs.

· Close the Loop on Payouts: Coordinate payment of approved claims with the Finance Officer and Building Advisor.

Other

· Call Back the Same Day: Comply with the company's same-day call back policy.

· Keep the Systems Clean: Maintain the accuracy of all systems and records, including the CRM and financial systems.

· Work with the Experts: Liaise with the Fund Assessor and Actuary and respond to their queries.

· Report with Confidence: Prepare monthly reporting for management, and reports and documentation for the Board of Trustees.

· Stay Audit-Ready: Assist with audit processes and auditor queries.

· Coordinate IT Matters: Manage IT-related matters for the Fidelity Fund and liaise with providers.

· Show Up for the Trustees: Attend Trustee meetings as required.

· Tell the Fund's Story: Support content generation for Fund marketing.

Skills & Experience

· 2+ years in administration, claims support, insurance, or customer service.

· Experience in application processing, renewals, and claims documentation.

· Knowledge of insurance claims processes and compliance requirements.

· Strong customer service and stakeholder coordination skills.

· Proficiency in CRM systems, Microsoft Office, and financial software.

· Experience in invoicing, payment tracking, and records management.

· Ability to prepare management reports, audit documentation, and financial records.

· Excellent written and verbal English communication skills.

· Strong organisation, attention to detail, and the ability to work independently.

· Familiarity with the Australian insurance, construction, or building industry is advantageous.
