IP Docket Specialist Job Details:
Snell & Wilmer is seeking an Intellectual Property ("IP") Docket Specialist with expertise in foreign patent and trademark docketing to join our talented IP Docket team.
You will play a crucial role in managing and maintaining accurate records for intellectual property matters, with a focus on foreign patents and trademarks. You will ensure compliance with deadlines and legal requirements across various jurisdictions, working closely with attorneys, paralegals, and staff to support client needs.
The hours for this position are 8:30 a.m. – 5:00 p.m. MST Monday through Friday. Remote and hybrid work options are available based in the firm’s offices in Dallas, Las Vegas, Phoenix, Salt Lake City, or Washington, D.C.
Position responsibilities include, but are not limited to the following:
- Review and process incoming foreign patent and trademark correspondence, including emails, postal mail, and packages, to identify and record critical deadlines.
- Maintain and update docketing records using Intellectual Property docketing software (e.g., CPI or equivalent).
- Assign and calculate deadlines and response dates for foreign patent and trademark matters based on applicable laws, rules, and requirements.
- Monitor docket deadlines and generate weekly reports for attorneys and paralegals.
- Docket and maintain foreign patent and trademark prosecution, maintenance, renewal, and annuity deadlines.
- Review foreign counsel correspondence and identify required actions, deadlines, and follow-up items.
- Process lateral attorney and client file transfers, ensuring docket accuracy and compliance.
- Create, update, and maintain process documentation and training materials related to IP docketing procedures.
- Collaborate with attorneys, paralegals, foreign associates, and staff to develop efficient workflows and ensure smooth operations.
- Assist with identifying and resolving docketing discrepancies and ensuring the accuracy and completeness of IP records.
Experience and Qualifications:
- Minimum of 5 years of experience in foreign patent and trademark docketing or related IP legal support roles.
- Legal experience in Intellectual Property is required.
- Demonstrated experience with foreign patent and trademark prosecution, maintenance, renewal, and annuity deadlines.
- Proficiency with IP docketing software (e.g., CPI) and familiarity with foreign IP laws, deadlines, and procedures.
- Experience working with foreign associates and/or international IP counsel is strongly preferred.
- Strong organizational and time management skills with a proven ability to manage multiple matters and meet strict deadlines.
- Excellent attention to detail and accuracy when handling large volumes of data and time-sensitive information.
- Effective written and verbal communication skills with the ability to liaise professionally with attorneys, paralegals, staff, foreign counsel, and external stakeholders.
- Ability to work independently while also collaborating effectively within a team environment.
The pay range for this position is $38.45 to $53.85 an hour, depending on experience, qualifications, and location.
