We are looking for an Internal Payroll Coordinator to manage and coordinate the company side of the payroll process and serve as the primary operational link between internal teams and our third-party payroll provider.

This role supports the full payroll cycle, including payroll preparation and validation, processing coordination, payment execution, reconciliation, reporting, and issue resolution.

The ideal candidate is detail-oriented, organized, comfortable working with numbers and large volumes of information, and able to manage strict recurring deadlines. This is a coordination and control role rather than a position focused primarily on manually calculating payroll.

Key responsibilities include:

  • Maintain and coordinate payroll-related employee and worker information.
  • Collect and validate time, attendance, pay changes, bonuses, reimbursements, deductions, and payroll adjustments.
  • Follow up with supervisors and internal teams to ensure payroll information is complete and approved.
  • Submit accurate and authorized payroll information within established deadlines.
  • Coordinate with the third-party payroll provider throughout each payroll cycle.
  • Review preliminary payroll reports for errors, missing workers, unusual amounts, and other discrepancies.
  • Coordinate corrections and prepare payroll for management approval.
  • Monitor payroll execution and confirm approved payroll has been processed.
  • Review and coordinate the resolution of failed, rejected, delayed, or incorrect payments.
  • Reconcile completed payroll against approved source information and provider reports.
  • Maintain payroll reports, approvals, reconciliation records, and supporting documentation.
  • Coordinate payroll-related employee and worker inquiries.
  • Assist with payroll accounting, reporting, documentation, and process improvements.

Requirements

  • Must have lived or worked in the United States.
  • OR must have previously participated in the InterExchange Work Program with the United States.
  • Experience in accounting support, payroll coordination, finance administration, data processing, or a related role.
  • Basic accounting and data-encoding skills.
  • Strong numerical accuracy and attention to detail.
  • Ability to review data and identify missing, inconsistent, or unusual information.
  • Good organizational, reconciliation, and problem-solving skills.
  • Ability to manage recurring deadlines and follow up on outstanding requirements.
  • Strong written and verbal English communication skills.
  • Ability to coordinate professionally with employees, managers, internal departments, and external service providers.
  • Ability to handle confidential payroll, compensation, banking, and employee information responsibly.
  • Ability to work independently in a structured remote environment.
  • Comfortable using Microsoft Outlook, OneDrive, Microsoft 365/Office applications, spreadsheets, online collaboration tools, and payroll, timekeeping, or accounting systems.

Preferred Qualifications:

  • Educational background in Accounting, Finance, Business Administration, or a related field.
  • Previous experience with payroll, timekeeping, accounting, or financial systems.
  • Experience coordinating with a third-party payroll provider.
  • Experience supporting U.S.-based operations or a distributed workforce.
  • Familiarity with payroll reconciliation, payroll reports, and financial documentation.
  • Experience working with high-volume employee or worker records.
  • Experience with payroll platforms is an advantage; however, the ability to quickly learn new systems is also important.

Benefits

  • Competitive compensation based on experience and qualifications.
  • Fully remote work environment.
  • Structured payroll processes and clearly defined responsibilities.
  • Opportunity to gain experience supporting U.S.-based payroll operations.
  • Long-term opportunity within a growing organization.
  • Exposure to accounting, payroll controls, reconciliation, and financial operations.
  • Opportunity to develop experience across the full payroll cycle.
  • Collaboration with Accounting, HR, Operations, Management, and external payroll providers.
