Internal Reporting & AI Operations Coordinator

What will you do?

At Hiflylabs, you’ll have the opportunity to explore how we can make the most of AI and technology in our day-to-day operations. Working in the Operations team and closely with our back office teams and the CTO, you’ll experiment with new solutions, improve our internal processes, and help turn great ideas into practical solutions that make a real difference. Hiflylabs is expanding in the US and Western Europe, thus you will have the opportunity to take part in the development of our Global operations.

RESPONSIBILITIES:

Business operations

• Improve operational efficiency through process optimization, automation, and the adoption of new technologies
• Understand the company's data warehouse and help align data flows with reporting requirements
• Support the development and maintenance of reports and data-driven solutions using Power BI and Google Sheets
• Support other ad hoc tasks and projects as needed

AI

• Understand internal business processes, identify opportunities for improvement, and support the implementation of AI-powered solutions
• Support the implementation, adoption, and internal communication of AI tools and solutions across the backoffice of Hiflylabs
• Collaborate in the development of chatbots, AI agents, and automated workflows

Data privacy & IT

• Support Data governance, Identity and Access Management (IAM) initiatives and other IT and Operations projects
• Help monitor data protection and compliance requirements related to internal processes, including GDPR, DORA, ISO

REQUIREMENTS:

• 3–5 years of relevant professional experience in areas such as business operations, project management, consulting, business analysis, or data analysis
• A university degree or equivalent higher education qualification
• Experience in project management and coordinating internal processes
• Strong communication and collaboration skills, with a supportive and team-oriented attitude

AI skills

• An interest in AI tools and emerging technologies, along with an understanding of their practical applications
• Ability to create and manage AI tools: workflows, agent, chatbot, skill, governance
• Hands-on experience with AI tools such as Claude, Gemini, and ChatGPT
• Technical affinity and a systems-thinking mindset: An interest in data analysis and reporting, as well as a basic understanding of how data warehouses work

Soft skills

• A process-oriented mindset, attention to detail, and the ability to balance following established procedures with flexibility
• A proactive approach, strong problem-solving skills, and a willingness to experiment with new solutions
• Confident English communication skills for internal professional collaboration
• Easy-going attitude

NICE TO HAVE:

• Experience in Power BI / dashboard development
• Familiarity with BigQuery or other data warehouse technologies
• Experience using AI to write Python code, or the ability to understand and interpret AI-generated code
• Familiarity with Visual Studio Code and GitHub
