Interview Material Coordinator

Office Administration / Interview Materials

Remote • Full-time
53,040–56,160 per year

When an interview is arranged, everyone needs the same current information. The Interview Material Coordinator checks the approved schedule, selects the assigned information packet, and ensures candidates and interviewers receive the correct version through the employer's online process. This is a remote administrative support role. You will not select candidates, write assessment criteria, or share confidential interviewer notes with applicants.

What belongs in the packet

The team may provide a role summary, joining instructions, a schedule, and a standard explanation of the interview format. Check that each item applies to the opening and stage. An old link or the wrong time zone can create an avoidable problem. If the packet includes an accommodation contact, keep that information accurate and route related requests to the right person. You should not demand private details from a candidate in a general email.

A candidate might ask whether preparation is required. Answer only from the approved instructions or send the question to the recruiter. Internal interviewers may need a different set of materials than candidates. Office administration here means controlling versions and recipients; customer service means making the process clear and considerate. Record when the packet was sent and note any returned message so the recruiter knows whether the candidate received it.

Day-to-day duties

Review the confirmed interview and associated online applicant record. Choose the current approved materials for the correct role and stage. Check dates, time zones, names, and meeting links.

Send candidate-facing and internal materials to their permitted recipients. Record delivery status and flag an undelivered message. Refer content questions and accommodation requests appropriately.

Remove or replace a superseded item under the recruiter's instruction.

Recruiting experience is helpful but unnecessary. Customer service and office administration experience are relevant, and the employer will train beginners on its applicant system and confidentiality rules. You should be able to follow a checklist, compare versions, and avoid treating a tentative meeting as confirmed.

A private home office or similar environment is appropriate for candidate information. The hiring company will confirm systems and coverage hours.

A packet may be reissued when an interview time changes. Check whether the candidate has already received the old version, and tell the recruiter if a correction notice is needed. You should not send a second full packet without confirming which invitation is current. A clear version label reduces confusion for both the interviewer and applicant.

Sometimes a recruiter changes the interview format after the original packet has been assembled. Check which instructions are current before circulating a replacement, and make a brief note of who received each version. If a candidate cannot open a link, use the approved alternate delivery route and tell the recruiter what happened. Do not forward an internal scoring guide simply because it shares a file name with the candidate packet. This careful separation is the practical heart of the role: the right person gets the right material at the right stage.

You might also compare an interviewer's calendar entry with the candidate message before distribution. A confirmed time, a tentative hold and a cancelled interview should lead to different actions. When a change occurs close to the meeting, flag it to the coordinator promptly instead of assuming an automated update reached everyone. This work rewards steady communication, not prior recruiting credentials. A beginner who has checked school notices, event instructions or appointment emails can bring relevant experience.

Apply

Show how you kept information consistent for several people or checked a document before sending it. Experience from a class, community team, or previous job can demonstrate that habit. A recruiting credential is not needed. The recruiting team may ask applicants moving forward to complete an application on the company’s website. The recruiter will explain the interview materials handled in this position.
