Inventory & Accounts Coordinator (Cin7 Core / QBO)

About the Role

We are a CPG food & beverage brand looking for a detail-oriented and highly organised Inventory & Accounts Coordinator to support the business across Cin7 Core, inventory management, purchasing, invoicing, bookkeeping, and monthly financial reconciliation.

This role sits between operations and finance — ensuring that product, inventory, customer, supplier, and accounting records remain accurate and up to date across both Cin7 Core and QuickBooks Online. The ideal candidate is highly comfortable with numbers, systems, and recurring financial processes, with the ability to work independently and spot discrepancies before they become larger issues.

Key Responsibilities

1. Inventory & Cin7 Core Management
   • Maintain accurate product, supplier, and customer data in Cin7 Core
   • Manage inventory levels and maintain accurate stock visibility
   • Input finished product builds / recipes to support MRP and inventory planning
   • Map ingredient item numbers to supplier item numbers and finished goods to customer item numbers
   • Input and maintain customer and supplier records
   • Monitor inventory transactions and investigate discrepancies
   • Help reconcile Cin7 Core inventory records against supporting operational data
2. Purchasing, Invoicing & Revenue
   • Create and send purchase orders through Cin7 Core
   • Maintain accurate PO records and supporting documentation
   • Invoice direct customers and distributors
   • Manage customer-specific pricing and ensure invoices reflect agreed terms
   • Track revenue across Amazon, DTC, distributors, and direct customers
   • Reconcile sales activity across channels
   • Support distributor deductions and customer account adjustments as required
3. Bookkeeping & Accounts Support
   • Maintain accurate bookkeeping records in QuickBooks Online
   • Support accounts receivable and accounts payable administration
   • Record and categorise expenses accurately
   • Reconcile bank, credit card, and other balance sheet accounts
   • Match invoices, payments, and expenses to supporting documentation
   • Track outstanding customer balances and supplier payments
   • Assist with monthly expense reconciliation and month-end close preparation
   • Review QBO monthly and investigate discrepancies or uncategorised transactions
   • Maintain organised records for invoices, receipts, bills, POs, and other finance documentation
   • Coordinate with external bookkeepers, accountants, or finance partners where required
4. Reporting & Reconciliation
   • Reconcile Cin7 Core activity against QBO
   • Maintain clear revenue, inventory, and expense records
   • Identify differences between operational and accounting systems and resolve where possible
   • Support monthly reporting with accurate data pulls and reconciliations
   • Flag unusual transactions, missing documents, or inconsistencies promptly

Required Skills & Experience

• Cin7 Core: Hands-on experience with Cin7 Core is mandatory — candidates without this will not be considered
• QuickBooks Online: Strong working experience with QBO across AR, AP, invoicing, expense reconciliation, and month-end processes
• Inventory & Operations: Experience working with purchase orders, inventory records, customer pricing, supplier data, SKUs, BOMs/recipes, item mapping, and inventory transactions
• Finance Administration: 2+ years in inventory administration, bookkeeping, finance administration, operations, or a similar role
• Excel / Google Sheets: Strong skills required for data management and reconciliation work
• Accuracy & Organisation: Excellent numerical accuracy, attention to detail, and consistency with recurring finance and operational tasks
• Communication: Strong written and spoken English; comfortable working independently across both operational and accounting systems
• Industry Background: Experience within CPG, food & beverage, e-commerce, or another physical product business preferred
