Invoice Copy Delivery Assistant

Customer Service | Billing Documents | Remote
Full-time or part-time · £24.25–£26.25 per hour

Find the right invoice. Send it to the right person.

The Invoice Copy Delivery Assistant handles a narrow but useful customer service task: requests for copies of invoices that have already been issued. A customer might need a document for their records, have lost the original message or be unable to open the file they received. You would locate the correct invoice through the employer’s online system, check the requester’s approved contact details and send or arrange access to the existing document. The work is remote, written and administrative.

There is a clear boundary. You would not create a new invoice, revise the amount, decide a dispute or send account information to an unverified third party. If a customer says the document itself is wrong, that issue belongs with the billing team. Your part is to identify the invoice in question, make sure the permitted recipient can obtain a copy and record what happened. When there is no confident match, you ask for a reference or pass the issue along rather than sending a similar-looking document.

Why this is more than pressing resend

One customer may have several invoices in a month. Two accounts may share a similar name. A request may refer to an order number rather than an invoice number. Before you release a file, you would compare the available references, date and recipient information against the request. You would use the employer’s verification procedure where needed. A customer who cannot open an attachment may need the approved access route explained, but you should not move a document to a personal file-sharing account to solve the problem.

The result should be easy for the customer to understand. A concise reply identifies which invoice was supplied and, if relevant, how to access it. If the document cannot yet be located, explain the particular detail needed to continue. Colleagues should be able to see whether a copy was sent, whether a customer response is awaited or whether billing has taken over the question. Keeping that record is a basic part of office administration.

For a straightforward request, you would identify the supplied invoice or order reference, find the existing issued document and compare its date with the customer’s description. You would confirm the approved recipient before releasing the file or link. Once a copy has been sent through the authorised channel, record the action in the account note.

A request needs more care when several documents could fit or the recipient is unclear. You would ask for the specific detail needed to proceed, while questions about a charge or correction go to the billing colleague. These steps keep the original request and the eventual response traceable without asking you to make an accounting decision.

This job is suitable for someone who can carry out a repeatable check without treating every request as identical. You may find a clear invoice in seconds; another request may need a careful clarification. The important habit is to separate the two, because an incorrect document can expose information or create a new problem for the customer. The employer will teach the system, the approved recipient checks and the handoff process.

Prior office administrative or billing-document experience is helpful but not necessary. We welcome applicants with little formal experience who can use a computer, compare references and write a straightforward email. A person who has kept digital records or helped someone locate a document elsewhere may already have useful skills. You are not expected to know accounting terminology or calculate invoices. The work is about retrieval, recipient care and a clear response.

This remote opening can be arranged for full-time or part-time hours. A quiet home office area helps with careful handling of account information, which should remain within the company’s approved systems. You will work independently on ordinary copy requests and ask a colleague about an unclear account or recipient. Pay is £24.25–£26.25 per hour.

Applying for the role

In your application, make any experience finding records, checking a recipient or answering a document request visible. Transferable tasks from study or another industry count; a billing title is not required. The team will teach its specific process and welcomes newcomers. If you’re selected for the next step, you may be asked to complete an application on the hiring company’s website. That next stage, if used, forms part of the hiring company’s recruitment process.
