Invoice Query Routing Assistant

Customer Service / Billing Enquiries / Remote
£30.00–£32.00 hourly · Full-time or part-time

An invoice question needs the right facts and the right person

Customers sometimes write because they cannot find an invoice, do not recognise a reference or want to know where to direct a payment question. The Invoice Query Routing Assistant receives those messages, checks the ordinary account information available to the role and moves each question towards an accurate answer. You would provide straightforward information that the employer has authorised you to share. Disputes, adjustments and payment decisions belong to the relevant billing colleague.

This is a remote, online customer service job with a defined boundary. You may locate a document already issued, explain how to find a reference or ask for a missing invoice number. You would not independently waive a charge, change an amount, give financial advice or promise that a dispute will be upheld. The distinction matters to the customer: a helpful acknowledgement should say what is being checked and what will happen next, without presenting a possible outcome as a decision.

The work can be described as triage with follow-through. First identify whether the message concerns a missing copy, an account detail, a payment status question or a challenge to the invoice. Then check the permitted record, note what information is already available and send it or direct the issue according to the team’s process. A handoff should include the invoice reference, the customer’s question and any relevant action already taken. It should not include guesses about why a charge appears.

What a day could contain

You might receive a request for a duplicate invoice and check that it can be sent to the stated contact. Another customer may provide only a transaction date; you would ask for the reference or other permitted identifying detail needed to locate the record. Someone else may say a line on an invoice seems wrong. You would acknowledge that concern and send it for review with the exact line and the customer’s explanation. In each case, you keep the question tied to the original message and record the current status.

Your writing should be plain and considerate. Money-related questions can be frustrating, and a generic reply can make a customer feel unheard. A good response identifies the specific document or issue, avoids jargon and gives a realistic next step. Where you cannot share an invoice because identity or recipient details are unclear, you would use the approved verification route instead of attaching a document to an unconfirmed address. The employer will teach these boundaries.

Background that fits

No accounting qualification is required. Previous customer service, reception, invoice filing or office administration experience may help, but applicants with little or no experience are welcome. You need basic computer use, care with numbers and references, and the ability to write a clear message. Training will explain the billing system and which enquiries can be answered routinely. You should not feel pressure to solve a financial dispute outside your remit.

There may be a queue of open questions at different stages. You would keep a brief record of whether a reply has been sent, a document requested or a billing colleague asked to review an item. A finished task means the customer has received the authorised information or the enquiry has been handed to someone who can decide it. Simply forwarding an email with no context is not a good handoff.

Remote work calls for careful handling of account information through the approved online system. A suitable home office area can help you keep customer details private while working through written enquiries. The opening can be arranged for full-time or part-time hours, with an hourly range of £30.00–£32.00.

About applying

Your CV need not show a billing job to be relevant. Written customer contact, accurate use of references and sensible escalation from another role are all useful examples. Please describe only the financial tasks you have genuinely performed; this opening does not require independent accounting decisions. If you’re selected for the next step, you may be asked to complete an application on the hiring company’s website. The company can discuss its billing process and hours with candidates who continue.
