Position Title: IT Governance Administrator

Location:
Taguig City, Metro Manila – 2 days per week onsite

Role Purpose


The IT Governance Administrator will support the development and ongoing management of the GTS Target Operating Model (TOM), helping to ensure GTS has clear, consistent and well-managed ways of working across its key practices. The TOM provides a blueprint for how GTS operates, including the customers it serves, how the function is organised, and the core practices used to deliver reliable and effective services across the business.


Working closely with practice owners, the role will help define and maintain each practice’s purpose, ownership, supporting policies, key processes, responsibilities and governance requirements. It will also help track progress, coordinate documentation and reporting, and support the continued maturity of GTS practices over time

Key Responsibilities


Summary


· Provide day-to-day administrative support for operational and project activity across GTS.

· Coordinate meetings, workshops and governance forums related to operational and project planning, implementation and tracking.

· Prepare agendas, capture notes, record decisions and track actions to support timely follow-up and delivery.

· Support the production of clear and accurate status updates, reports and presentation materials for stakeholders.

· Ensure documentation is version controlled, well organised and accessible to relevant stakeholders.

· Track milestones, deliverables, dependencies and actions, escalating any gaps or overdue items to the relevant project lead where appropriate.

· Assist with the administration of governance processes, including scheduling review points, preparing packs and following up on agreed actions.

· Help maintain consistent ways of working, templates and reporting approaches across project-related activity.

· Support communication activity linked to project updates and changes, including preparing materials, coordinating input and maintaining distribution of updates where required.

· Contribute to continuous improvement by identifying opportunities to simplify administrative processes and improve coordination.

· Support and advise stakeholders on IT best practice

Skills, Knowledge & Expertise


What we are looking for in you

Essential

· ITIL Certification or experience working in ITIL environments

· Experience in an administrative, project administration, project coordination, PMO, team support or similar role within a business, transformation or technology environment.

· Strong organisational skills with the ability to manage multiple tasks, priorities and deadlines effectively.

· Experience coordinating meetings, actions, documentation and reporting across multiple stakeholders.

· Strong written and verbal communication skills, with the ability to present information clearly and accurately.

· Good attention to detail and a high standard of document management and administration.

· Comfortable working with Microsoft Office tools, including Word, Excel, PowerPoint and Teams.

· Ability to maintain trackers, reports and documentation in a structured and reliable way.

· Able to work collaboratively across teams and build effective working relationships with a range of stakeholders.

· Proactive and dependable approach, with the confidence to follow up actions and maintain momentum on agreed activity.

· Comfortable working in a changing environment where priorities may evolve over time.



Desirable


· Experience working in a project administration, PMO, governance or technology function.

· Familiarity with RAID management, action logs, governance reporting and project documentation standards.

· Experience supporting globally distributed teams.
