- Interpret lease documents and lease language and enter key terms into the system, supporting accurate reporting and analysis.
- Set up and maintain pass-through worksheets for Common Area Maintenance (CAM) and Real Estate Taxes in accordance with lease obligations.
- Review leases and lease abstractions to verify consistency, accuracy, and compliance with agreed terms.
- Calculate percentage rent charges when applicable, based on lease provisions and reported sales.
- Input cash receipts into property management software and follow established standard operating procedures for monthly rent collections.
- Collaborate with Property Managers to research and resolve outstanding issues related to tenant accounts, including CAM expenses and budget analysis.
- Maintain data in lease and property databases, including abstraction of leased and owned property information, and provide quality assurance for all data entered.
- Perform invoice reviews to confirm alignment with tenant obligations and determine whether payment should be remitted.
- Produce monthly recurring rent variance reports and enter clear variance explanations to support financial review.
- Conduct preliminary reviews of operating expenses to ensure calculations are correct and that appropriate supporting documentation has been provided.
- Interact with landlords as needed, including assisting with the creation of standard forms, policies, and procedures related to lease administration.
- Generate reports and analyses, including financial reports, as required to support portfolio management and decision-making.
Essential Skills
- Minimum of 3 years of experience in commercial real estate or property leasing.
- Strong understanding of leases, lease abstracts, and lease amendments, including commercial lease contracts and key financial terms.
- Experience working with Common Area Maintenance (CAM) charges and related pass-through expenses.
- Hands-on experience with invoicing processes and tenant billing.
- Proficiency with property management software for lease setup, maintenance, and reporting.
- Ability to interpret complex lease language and translate it into accurate system entries and financial implications.
- Solid understanding of accounts payable and accounts receivable principles in a real estate or leasing context.
- Strong Excel skills for reconciliation, variance analysis, and financial reporting.
- High attention to detail and commitment to data accuracy and quality assurance across a portfolio of properties.
- Ability to analyze rent variances, operating expenses, and CAM reconciliations and provide clear, concise explanations.
Additional Skills & Qualifications
- Bachelor's degree in Accounting, Finance, Business, or a related field is preferred but not required.
- Background in commercial real estate portfolio management or lease administration.
- Experience with CAM reconciliation and real estate tax pass-through calculations.
- Familiarity with financial reporting and analysis within a commercial real estate environment.
- Ability to produce clear, structured reports and communicate findings to property management and other stakeholders.
- Strong organizational skills and the ability to manage multiple leases and properties simultaneously.
- Comfort working within established policies and procedures while helping to refine and improve standard forms and processes.
- Effective communication skills for interacting with property managers, landlords, and internal teams.
