About Milestone

Milestone Retirement Communities operates Independent Living, Assisted Living, and Memory Care communities across multiple states. Our mission is reimagining the way we age, and our core values of Compassion, Innovation, and Accountability guide how we care for residents and for each other.

Compassion

A person first and a case second.

Innovation

One case tracker, standard templates, and dashboards.

Accountability

Owns every deadline in every state.

About the Role

You will own Milestone's leave of absence, workplace accommodation, and workers' compensation programs from start to finish, in every state where we operate.

Our states currently include California, Colorado, Minnesota, Nevada, Oklahoma, Oregon, and Washington. This is a new, single point of ownership for work that was previously split across several roles.

This is a hands-on role with no direct reports. You will personally manage the daily caseload: taking in claims and leave requests, managing carriers and third-party administrators, meeting state deadlines, coordinating return to work, and keeping records audit-ready. You will also build the reporting and training that help community leaders prevent injuries and respond correctly. In senior living, a single injury often involves workers' compensation, protected leave, an accommodation review, and benefits all at once. This role makes sure team members experience one coordinated, compassionate process.

What You'll Do

Six areas, one accountable owner.

01 Workers' Compensation Claims Management

  • Manage the full life cycle of every workers' compensation claim: intake, first report of injury, carrier or TPA assignment, investigation support, medical management, return to work, and closure.
  • Report every claim to the correct carrier, TPA, or state fund within each state's deadline, and make sure required forms and notices reach injured team members on time.
  • Review reserves, payments, and medical status with adjusters; challenge reserves or treatment plans when the facts support it; and document every decision.
  • Conduct or coordinate incident investigations and root-cause reviews with community leaders, and refer potentially questionable claims through the carrier's investigation process in a fair, non-retaliatory way.
  • Maintain OSHA 300, 300A, and 301 recordkeeping for each establishment.
  • Prepare claim files for mediation, hearings, and settlement discussions, and support annual renewals and audits with payroll, class code, and loss-run data.

02 Leave of Absence and Accommodation Administration

  • Administer all leaves from request to return, including FMLA, state family, medical, and paid leave programs, state paid sick leave, pregnancy-related leave, military leave, and personal leave.
  • Determine eligibility, issue required notices and designations on time, manage medical certifications, and track concurrent leave entitlements and return dates.
  • Coordinate leave that runs alongside workers' compensation so team members are not overpaid, underpaid, or left without benefits.
  • Lead the interactive process for accommodation requests under the ADA, the Pregnant Workers Fairness Act, and state law, and document good-faith dialogue and outcomes.
  • Partner with Payroll to keep pay, benefits deductions, and premium payments correct during leave, and keep HRIS leave status accurate.

03 Return to Work and Modified Duty

  • Lead Milestone's return-to-work program and build modified and transitional duty assignments within medical restrictions.
  • Draft and issue all modified-duty and transitional-duty offers in line with state-specific requirements.
  • Stay in regular contact with team members who are out of work so they feel supported and know what to expect.

04 State-by-State Compliance

  • Maintain working knowledge of workers' compensation and leave laws in every operating state, and keep a state compliance matrix current.
  • Update policies, notices, forms, and procedures when laws change, and assess requirements for any new state before Milestone hires there.
  • Protect the confidentiality of medical information and keep medical records separate from personnel files.

05 Analytics and Reporting

  • Produce regular analytical reports for the CHRO, with cadence based on claim activity.
  • Track recordable incidence rate, days-away rate, claim frequency and severity, lost workdays, time to report, reserves and paid losses, leave volume, and return-to-work results by community, state, department, and job.
  • Compare results with national senior living benchmarks and recommend actions to reduce injuries, costs, and time away from work.

06 Training and Vendor Management

  • Design and deliver state-specific leave and workers' compensation training for team members, community leaders, and the Support Center, including orientation content, an annual refresher, and law update bulletins.
  • Manage relationships with carriers, TPAs, state funds, and leave vendors; lead regular claim reviews; and review loss runs before renewals.
  • Support other HR platform trainings as delegated by the CHRO.

What You Bring

Required

  • Bachelor's degree in human resources, business, risk management, or a related field, or an equivalent combination of education and directly relevant experience.
  • At least 5 years of direct, hands-on experience managing both leaves of absence and workers' compensation claims. Experience in only one of these areas does not meet this requirement.
  • Direct experience managing a workers' compensation caseload with carriers or TPAs, including reserves, medical management, return to work, and claim closure.
  • Direct experience administering FMLA from start to finish, including eligibility, notices, certifications, designation, and tracking, as well as ADA interactive process management.
  • Multi-state experience, including at least one state with a paid family and medical leave program (for example, California, Colorado, Minnesota, Oregon, or Washington).
  • Working knowledge of OSHA injury and illness recordkeeping.
  • Strong analytical skills, including advanced Excel and the ability to build and interpret trend reports for executive audiences.
  • Clear, empathetic written and verbal communication with team members, leaders, physicians, adjusters, and attorneys.
  • Proven ability to work independently and securely in a remote environment and to manage a high-volume, deadline-driven caseload.

Preferred

  • Experience in senior living, long-term care, healthcare, or another 24/7 hourly workforce.
  • Experience with a monopolistic state fund (such as Washington L&I) and with the Oregon and California workers' compensation systems.
  • Professional certification, such as CLMS, WCCP, AIC, CPDM, ARM, SHRM-CP/SHRM-SCP, or PHR/SPHR.
  • Experience designing and delivering compliance training for frontline staff and leaders.
  • Experience with HRIS, payroll, and case management systems.

To Be Considered

Your resume or application must clearly show that you have:

  • Personally managed an active workers' compensation caseload. Only reporting injuries to a carrier does not qualify.
  • Personally administered leaves from start to finish, including eligibility determinations, notices, and certifications.
  • Handled claims or leaves in more than one state.
  • Produced claims or leave reports for a senior leader.

Compensation

$75,000 – $80,000 per year

The salary range for this position is $75,000 to $80,000 per year, based on experience and qualifications. This role is also eligible for a quarterly and annual Performance Incentive Plan tied to workplace safety, claims management, and leave compliance results. The incentive plan is governed by a separate written plan.

Work Environment

  • Remote, from a private, secure home office in the United States, with reliable high-speed internet and a workspace where confidential calls cannot be overheard.
  • Available during core business hours, with flexibility to support teams in the Pacific, Mountain, and Central time zones.
  • Occasional travel (up to 10%) for leadership events, community visits, claim meetings, mediations, or hearings.
  • Occasional after-hours availability for serious injuries or urgent deadlines.
  • Frequent sitting, computer work, and phone and video calls; ability to lift up to 20 pounds during travel.
  • Community visits may involve walking, standing, and possible exposure to communicable disease and cleaning chemicals.
