About Trench Legal
Trench Legal is a U.S.-based legal technology startup helping personal injury law firms streamline medical records retrieval, billing collection, and case preparation.
We combine technology, automation, and dedicated retrieval specialists to help law firms obtain medical records faster and with less administrative work.
We're looking for an experienced Medical Records Retrieval Specialist who understands the U.S. healthcare system and has hands-on experience obtaining medical records and bills for personal injury cases.
Key Responsibilities
- Submit medical records, billing, and imaging requests to U.S. healthcare providers via fax, email, online portals, and other authorized channels.
- Make outbound phone calls to hospitals, clinics, and medical records departments to confirm receipt and follow up on outstanding requests.
- Communicate with Release of Information (ROI) departments and third-party records vendors.
- Identify the correct departments, phone numbers, fax numbers, and procedures for obtaining records.
- Track request statuses, document provider communications, and maintain accurate follow-up notes.
- Resolve rejected requests, missing authorizations, incomplete records, and other retrieval issues.
- Obtain medical bills, itemized billing statements, and imaging reports when requested.
- Escalate complicated requests and communicate delays or blockers to the team.
- Follow HIPAA requirements and company procedures for protecting confidential patient information.
Required Qualifications
- At least 1 year of hands-on medical records retrieval experience involving U.S. healthcare providers, preferably for a personal injury law firm or legal services company.
- Strong spoken and written English (professional working proficiency).
- Experience contacting U.S. hospitals, clinics, and ROI departments by phone.
- Familiarity with HIPAA authorizations and medical records request procedures.
- Ability to manage multiple outstanding requests and follow-ups independently.
- Strong organizational skills and attention to detail.
- Reliable internet connection and a quiet environment for professional phone calls.
- Availability to work during U.S. business hours.
Preferred Qualifications
- Experience working for a U.S. personal injury or workers' compensation law firm.
- Familiarity with medical records vendors and platforms such as Ciox/Datavant, MRO, Sharecare, or ChartSwap.
- Experience collecting itemized medical bills and diagnostic imaging.
- Familiarity with legal case management software such as Filevine, SmartAdvocate, or Clio.
- Experience resolving difficult, delayed, or incomplete medical records requests.
What We Offer
- Competitive compensation based on experience.
- Fully remote position.
- Opportunity to join an early-stage U.S. legal technology company.
- Direct collaboration with a small, growing team.
- Opportunity to help develop processes and take on additional responsibilities as the company expands.
How to Apply
Please submit:
- Your resume in English.
- Answers to the following questions:
- Have you worked with U.S. personal injury law firms? If so, for how long?
- Approximately how many medical records requests did you manage per month?
- Which medical records retrieval platforms or provider portals have you used?
- What is your expected monthly salary in USD?
- Important: We are specifically looking for candidates with direct experience retrieving medical records from U.S. healthcare providers. General virtual assistant or administrative experience alone is not sufficient.
