The Legal Specialist is a versatile legal professional who provides substantive, operational, and strategic support across the Legal Department of a global accounting firm. The role requires an adaptable, confident, and intellectually curious individual who can move effectively among contract review, legal research, licensing and compliance matters, legal operations, cross-functional coordination, and special projects. The Legal Specialist will exercise sound judgment, take ownership of matters within established parameters, identify emerging issues, and develop practical, business-minded solutions while recognizing when escalation is appropriate. In addition to conducting first-line reviews of both first-party and third-party contracts leveraging artificial intelligence tools built by the firm, the Legal Specialist manages the day-to-day operation of the Legal Department's intake and ticketing systems and helps ensure requests are triaged, prioritized, and resolved in a timely and consistent manner. Working closely with the Legal team and stakeholders across the business, this position strengthens the delivery of legal services by improving processes, maintaining reliable records and resources, supporting regulatory and transactional initiatives, and approaching new or unfamiliar matters with initiative, curiosity, and a commitment to continuous learning. Key Responsibilities Licensing, Compliance & Records Organise, track, and maintain the firm’s state/territory registrations and mobility licenses across relevant jurisdictions. Maintain accurate databases and electronic legal files, ensuring proper naming conventions, version control, and retention. Assist with preparing and maintaining compliance documentation and regulatory filings. Contract Review & Negotiation Support Conduct first-line review of both first-party contracts (e.g., customer agreements, Statements of Work, and NDAs on the firm's own templates) and third-party contracts (e.g., vendor agreements and other counterparty paper), aided by artificial intelligence technologies. Analyze proposed contractual deviations from approved company templates and playbooks. Coordinate negotiation processes with internal stakeholders and external counterparties, while educating internal stakeholders on expectations and rules during negotiations. Conduct the initial review and triage of all contracts, both first-party and third-party, applying firm playbooks and AI-assisted tools. Respond to client due diligence questionnaires and other client onboarding requirements Legal Operations & Ticket Management Serve as primary owner of the Legal Department's ticketing and intake system. Triage incoming legal requests and assign matters based on complexity, risk, and urgency. Monitor service levels and ensure timely responses to internal stakeholders. Maintain reporting metrics, dashboards, and workflow performance measurements. Identify opportunities to improve legal intake and service delivery processes. Cross-Functional Support & Coordination Liaise with Administrative, Finance, Operational Services, Growth and other teams to support client contracting, billing inquiries, and collections-related legal matters. Assist with inquiries involving insurance documentation, vendor forms, and operational requests. Coordinate with outside counsel, including support for intellectual property registrations and other external legal matters. Research & Operational Support Conduct basic legal research and fact-finding to support projects, transactions, and internal inquiries. Support the General Counsel and Chief Operating Officer with merger and acquisition activities, including document organisation, due-diligence preparation, and tracking of transaction deliverables. Assist with special projects, audits, and initiatives that support the overall Legal function. Administrative Support Manage calendars, correspondence, and follow-ups related to legal matters. Schedule meetings, prepare materials, and ensure readiness for internal and external legal discussions. Maintain confidentiality of sensitive firm and client information at all times. Skills, Knowledge and Expertise Certificate or diploma in Legal Studies, Paralegal Studies, or a related field. 2-4 years of experience providing administrative or legal support in a law firm, in-house legal department, or professional services environment. Experience supporting legal functions within a global organisation or professional services firm (e.g., accounting, consulting) preferred. Experience supporting legal intake, contract lifecycle management, or legal ticketing systems preferred. Experience working with Artificial Intelligence technologies preferred. Understanding of legal terminology, legal office procedures, and strong understanding of contract law. Familiarity with corporate governance requirements, licensing, and regulatory compliance processes. Working knowledge of intellectual property filings, basic research methods, and legal documentation standards. Familiarity with emerging artificial intelligence technologies and a strong desire to expand knowledge and practical application of AI-driven tools and systems. Strong written and verbal communication skills; ability to draft clear correspondence and documentation. Excellent organisational and time-management skills with the ability to prioritise multiple deadlines. Strong attention to detail, accuracy, and quality control. Research and information-gathering skills, including the ability to synthesise information. Ability to work independently while maintaining strong alignment with the Legal team and other stakeholders. Strong interpersonal skills with the ability to collaborate effectively across legal, administrative, operational, and finance teams. Exercise discretion, confidentiality, and sound judgement in handling sensitive information. Adaptability to a global environment with changing priorities and legal requests. Ability to identify process improvements and contribute to the development of legal playbooks and self-service tools. Ability to independently review and triage first-party and third-party contracts, exercising judgment on when to escalate matters beyond established authority to the Associate General Counsel. Compensation & Benefits This role offers a competitive base salary along with a comprehensive benefits package.
