A path for every ambition.
At HUB, we believe the best work happens when people are given real space to grow and then given the autonomy to exercise it. We power progress and protect ambition: for the clients who count on us, and equally for the people who make that possible every day.
We’re creative thinkers and determined doers, guided by values that show up in how we work together: with empathy, adaptability, accountability and a genuine commitment to one another’s success. We foster bold ideas, celebrate curiosity and share what we know. Because when people grow, the work they do grows with them.
Our purpose is deeply human: to help people navigate the world on their terms, at their speed, toward their future. We hold that same commitment to the people building careers here.
Whether you’re starting out or leveling up, you’ll find the resources to evolve, the support to take on more and a team ready to back you at every stage.
Your ambition has a home here.
Position Summary
The Licensing & Contracting (L&C) Associate serves as a primary point of contact for agents and producers navigating state licensing and carrier contracting. This role owns the full contracting lifecycle, from initial application and training compliance through confirmed carrier appointment, while also supporting state licensing activity including new applications and renewals. The L&C Associate works closely with carriers, producers, and internal leadership to ensure the contracting and licensing process moves efficiently, compliantly, and accurately. This position is well-suited for a detail-oriented professional with insurance industry experience. Candidates with a more senior background are encouraged to apply, as scope and responsibilities may be adjusted to reflect experience.
Core Responsibilities
State Licensing
- Support producers through the state licensing process, including new license applications, renewals, and license status monitoring
- Verify that agents hold active, appropriate licenses in the required states prior to contracting or conducting business
- Track license expiration dates and proactively communicate renewal deadlines to agents and leadership
- Liaise with state departments of insurance and licensing platforms (e.g., Sircon, NIPR) to resolve application issues or status inquiries
Carrier Contracting & Appointment Management
- Manage the end-to-end carrier contracting process for producers, from application preparation through confirmed appointment
- Maintain a thorough working knowledge of each carrier's required forms, documentation standards, and submission processes within the online contracting system
- Review, process, and distribute completed carrier contracts through the appropriate internal channels
- Conduct weekly follow-up on all pending carrier appointments via phone, email, and carrier portals to drive timely resolution
- Confirm that agents are properly appointed with each insurance company before conducting business
Training & Compliance Requirements
- Communicate carrier-specific product training requirements, anti-money laundering (AML) requirements, and continuing education (CE) obligations to producers prior to sale
- Track and document the completion of required training for each agent to ensure compliance before business is submitted
- Serve as a resource for agents who have questions about training timelines, requirements, or platforms
Customer Communication & Support
- Serve as a consistent and responsive point of contact for producers regarding contracting status, outstanding items, and next steps
- Follow up proactively with agents and carriers to resolve open items and prevent contracting delays
- Communicate clearly and professionally, adapting style to the audience — whether a new agent or a carrier representative
Documentation & Data Integrity
- Maintain accurate, current records in the agency management system, reflecting all received requirements and any items still outstanding
- Update the Paperclip document imaging system with current contracts, correspondence, and supporting documentation
- Manage all assigned tasks and follow-ups in accordance with due dates, ensuring full accountability and nothing falling through the cracks
Skills & Competencies
- Strong attention to detail with a clear understanding of its impact on compliance and customer outcomes
- Exceptional organizational skills with the ability to manage multiple workflows simultaneously and prioritize effectively
- Comfortable with technology; proficient in navigating carrier websites, licensing portals, and internal systems with speed and accuracy
- Strong problem-solving ability with a proactive, solutions-oriented mindset
- Adaptable and open to evolving processes as business or carrier requirements change
- Proficient in Microsoft Word and Excel; comfortable working with data and numbers
- Excellent written and verbal communication skills, including professional phone and email etiquette
- Ability to work independently as a self-starter while contributing effectively within a collaborative team
- Capable of meeting deadlines in a fast-paced, compliance-sensitive environment
- Able to interact professionally and credibly with individuals at all levels, including agents, carriers, and internal leadership
Education & Experience
- High school diploma required; associate's or bachelor's degree a plus
- 1–5+ years of experience in an office environment required; more senior candidates with deeper experience are encouraged to apply
- Life and/or health insurance industry experience strongly preferred
