Description

We’re looking for a Licensing Coordinator to support our Licensing team. The Licensing team is responsible for managing Hal Leonard’s music publishing partnerships and related contractual relationships, as well as overseeing the licensing and commercial exploitation of the company’s catalog. The Licensing Coordinator keeps that work organized: researching rights, clearing songs, maintaining contracts and catalogue data, and making sure partners are served on time.

We are actively integrating AI and automation into all areas of the business and expect candidates with a mindset focused on improving efficiency and delivering a better user experience.

What’s in it for you:

  • Meaningful work at the intersection of music, rights and technology.
  • Broad exposure across catalogue, contracts, sublicensing and income, giving you a view of the whole licensing business, not just one part of it.
  • A supportive team that shares knowledge openly and values clear communication.

Key responsibilities

  • Rights research and clearance: Research compositions, arrangements, ownership, and the scope of rights available under existing agreements.
  • Contract administration: Maintain the contract repository, abstract key terms, track approvals and deadlines, and flag rights gaps.
  • Catalog support: Maintaining song records, including adding new song records to our system, updating ownership and splits as necessary, processing Letters of Direction from publishing partners.
  • Licensing support: Maintain ongoing relationships with existing clients and licensing partners, serving as a primary point of contact for day-to-day agreement administration, responding to inquiries, coordinating issue resolution, and ensuring compliance with contractual terms.
  • Income tracking: Maintain real-time visibility into payment status, ensure that payments are received on time and pursuant to deal terms, validate royalty statements, flag discrepancies, and manage payment matters via direct client engagement and coordination with internal stakeholders.
  • Workflow and reporting: Manage clearance queues, track outstanding issues, and improve the efficiency and consistency of the process.
  • Contribute to projects: Assist with Licensing department initiatives.

Requirements

  • 1-3 years professional experience in the music industry.
  • Prior experience with music publishing rights.
  • Prior experience in copyright research and/or administration.
  • Impeccable attention to detail.
  • Excellent communication skills.
  • Organized multitasker.
