LinkedIn Content, Business Administration & Training Support
About the company
It provides project management, IT solutions, business support, training, and organizational development services. Led by Timothy, an experienced professional with over 30 years of industry experience and a strong background in corporate project delivery, IT, business processes, and team development, the business focuses on helping organizations align technology, people, and processes effectively.
Timothy has worked on complex, large-scale projects, including experience at Heathrow Airport and involvement in major infrastructure projects. His approach emphasizes practical solutions, long-term support, continuous improvement, professional standards, and ensuring that technology serves the needs of the people using it.
As the business continues to expand its B2B services and prepares for potential international project engagements. He is seeking a reliable Virtual Assistant who can provide consistent administrative and content support while helping establish efficient processes for future growth.
Role Overview
We are looking for a proactive, organized, trustworthy, and detail-oriented Virtual Assistant to support the day-to-day operations of the company.
The initial focus will be on LinkedIn content preparation and scheduling, email inbox organization, and general administrative support. The role may gradually expand to include training program administration, learner support, CRM management, and coordination for international projects and events.
The ideal candidate can work independently, follow established standards, exercise good judgment, and maintain a high level of accuracy without constant supervision. They should be comfortable working with technology and business systems, communicating professionally, and handling confidential information responsibly.
This role is suited to someone who enjoys building a long-term working relationship with a client, taking ownership of recurring tasks, and contributing ideas to improve workflows.
Key Responsibilities
1. LinkedIn Content Planning and Management
- Assist in planning, preparing, organizing, and scheduling LinkedIn content in advance.
- Work from the client's outlines, weekly themes, topic lists, and instructions to develop engaging, professional content.
- Support the preparation of a short, lighthearted, technology-related introductory post published on Mondays.
- Assist with the preparation and publication of the client's LinkedIn newsletter, generally published on Wednesdays.
- Help explore and prepare an optional additional Friday post as the content strategy develops.
- Organize content calendars and maintain a forward-looking schedule, ideally preparing content several weeks or one to two months ahead where practical.
- Maintain consistency in the client's professional voice, personality, subject matter, and communication style.
- Proofread content for grammar, clarity, factual accuracy, formatting, and consistency before scheduling.
- Ensure content is suitable for a professional B2B audience and reflects the client's expertise in IT, project management, training, business processes, and technology.
- Suggest relevant topics, content improvements, and opportunities to repurpose existing material, subject to client approval.
2. Content Formatting and Presentation Support
- Assist in turning the client's outlines and ideas into well-structured LinkedIn posts, newsletters, and supporting materials.
- Prepare and format PowerPoint presentations, speaker materials, and other business documents when required.
- Create clean, professional, readable presentations that communicate information clearly without unnecessary visual clutter.
- Provide light graphic formatting and visual support where appropriate.
- Maintain consistency in document structure, presentation formatting, and brand presentation.
- Use appropriate tools to support content preparation while ensuring all final materials are reviewed and refined by a human.
- Avoid generic, repetitive, overly templated, or obviously AI-generated content.
Heavy graphic design and video editing are not primary requirements at this stage.
3. LinkedIn Comment and Inquiry Support
- Monitor and review LinkedIn comments related to the client's posts and newsletter, as agreed.
- Identify straightforward questions that can be answered using approved information and existing website resources.
- Locate relevant pages, resources, and landing-page links on the client's website and share them where appropriate.
- Flag technical, strategic, sensitive, or experience-based questions for the client's personal response.
- Escalate comments that require the client's expertise, judgment, or direct engagement.
- Help identify opportunities for meaningful engagement with the client's professional audience.
Community management is a secondary responsibility and should be introduced gradually, with clear guidance on what the VA may answer independently and what must be escalated.
4. Email Inbox Organization and Administrative Support
- Organize and maintain the client's email inbox using folders, labels, categories, and other agreed organizational methods.
- Review and sort existing emails, including flagged messages and accumulated inbox items.
- Identify important messages, pending actions, deadlines, client inquiries, and follow-ups.
- Filter, archive, or delete obvious spam, repetitive marketing emails, and irrelevant messages according to agreed rules.
- Help maintain a clear system for prioritizing important correspondence and tracking outstanding tasks.
- Identify emails that require the client's attention and escalate them appropriately.
- Provide limited email response support for straightforward administrative inquiries once authorized.
- Use approved responses and existing resources to answer routine questions, such as directing contacts to a booking link or relevant website page.
- Escalate project-specific, confidential, technical, contractual, or otherwise sensitive correspondence.
- Provide backup administrative coverage during agreed periods when the client is unavailable.
The initial priority is inbox organization rather than independently managing all correspondence. Any authority to send, delete, or respond to emails must be agreed upon in advance.
5. General Business and Operational Administration
- Assist with recurring administrative tasks and maintain organized digital records.
- Help prepare, format, and organize documents, presentation materials, schedules, and task lists.
- Track assigned tasks, deadlines, follow-ups, and deliverables to ensure work progresses as expected.
- Maintain clear records of completed tasks, pending items, and issues requiring the client's attention.
- Support advance planning so recurring work is completed before deadlines.
- Identify opportunities to simplify workflows and improve administrative efficiency.
- Communicate progress and raise potential problems early rather than waiting for them to escalate.
- Help ensure that routine business operations continue smoothly when the client is occupied with meetings, traveling, or working on client projects.
6. CRM and Training Program Administration
As the business develops, the VA may assist with administrative tasks within the client's existing CRM and training systems.
Responsibilities may include:
- Accessing the client's current Cognito Forms system and its integrated custom CRM using an individually assigned user account.
- Processing training registrations, submissions, and learner information as authorized.
- Monitoring submitted exercises and tracking completion status.
- Ensuring learners receive their relevant responses or follow-up communications according to the agreed schedule.
- Helping maintain organized learner records and training administration data.
- Monitoring routine learner inquiries and identifying access issues or other problems.
- Providing basic administrative support for password resets and access-related requests where authorized and technically appropriate.
- Escalating technical issues, unusual requests, and matters requiring the client's expertise.
- Helping maintain a positive learner experience through timely, accurate, and professional communication.
The client may introduce a different CRM as the business expands. The VA should therefore be comfortable learning new systems and adapting to revised workflows.
7. Event, Speaking Engagement, and Outreach Support
These responsibilities may be introduced as needed after the initial priorities are established.
- Assist with preparing and organizing materials for speaking engagements, presentations, and networking events.
- Help promote relevant speaking engagements and business events through LinkedIn and other approved channels.
- Support event-related communications and administrative coordination.
- Assist with organizing event information, schedules, resources, and follow-up activities.
- Provide administrative backup during selected online events, virtual summits, or international engagements.
- Help monitor incoming administrative inquiries and attendee support requests during agreed coverage periods.
- Follow established escalation procedures when technical, operational, or client-specific decisions are required.
Lead generation and proactive outreach may be considered as the business grows, but are not the primary focus of the initial engagement.
8. International Project and Business Support
As TKM PM and IT Solutions expands, the VA may provide additional remote support during international projects and periods when the client is unavailable.
- Help maintain continuity of administrative tasks across different time zones.
- Monitor agreed communication channels during scheduled coverage periods.
- Assist with routine coordination, documentation, and follow-up tasks.
- Help track outstanding requests and ensure relevant issues are directed to the appropriate person.
- Provide backup support during selected events, travel periods, or client engagements.
- Handle project and client information with strict confidentiality and professionalism.
The VA will not be expected to make technical, contractual, project-management, or other high-impact decisions without the necessary authority and instructions.
Required Skills and Qualifications
- Previous experience as a Virtual Assistant, Executive Assistant, Administrative Assistant, Social Media Assistant, or in a similar support role.
- Strong written English, including excellent grammar, spelling, proofreading, and professional communication skills.
- Experience preparing, editing, formatting, or scheduling LinkedIn content.
- Strong organizational skills and the ability to manage recurring tasks, deadlines, and competing priorities.
- Excellent attention to detail and a commitment to following agreed standards and processes.
- Ability to work independently, take ownership of assigned responsibilities, and seek clarification when needed.
- Sound judgment when handling emails, comments, confidential information, and client requests.
- Confidence using online business tools, digital platforms, and web-based systems.
- Willingness and ability to learn CRM platforms, forms systems, and training administration workflows.
- Ability to follow instructions, accept constructive feedback, and incorporate improvements.
- Proactive communication skills, including raising concerns and reporting potential issues early.
- Strong discretion and an understanding of confidentiality, data protection, and appropriate access controls.
- Flexibility to support occasional schedule adjustments or agreed international coverage requirements.
Preferred Skills
- Experience supporting B2B consultants, IT service providers, project management professionals, trainers, or business owners.
- Experience with LinkedIn newsletters and professional thought-leadership content.
- Experience preparing PowerPoint presentations and professional business documents.
- Familiarity with Cognito Forms, CRM systems, online forms, or learner management workflows.
- Experience organizing email inboxes with large volumes of accumulated messages.
- Familiarity with Calendly or similar scheduling tools.
- Experience supporting online events, virtual summits, webinars, or speaking engagements.
- Basic graphic formatting skills for professional content and presentations.
- Experience using AI-assisted tools responsibly to support brainstorming, outlines, and drafting while independently reviewing and refining the final output.
Tools and Systems
Current or identified tools:
- LinkedIn – primary platform for business content and professional engagement.
- Cognito Forms – current forms platform with an integrated custom CRM.
- WhatsApp – preferred channel for quick communication and coordination.
- Email – administrative communication and inbox management.
- Zoom – periodic check-ins and discussions.
Potential or task-dependent tools:
- PowerPoint – presentation and speaker-material preparation.
- Calendly – scheduling links and routine appointment inquiries.
- ChatGPT or similar AI tools – optional support for ideation and outlining, subject to the client's expectations for human review and original work.
- Future CRM platforms and other business systems as the business expands.
The specific tools used for content scheduling, task tracking, file management, and design can be agreed upon during onboarding. No additional software should be assumed mandatory until confirmed by the client.
Working Hours and Availability
- Initial commitment of 10 hours per week, in line with the service provider's minimum engagement.
- Work should generally align with UK working hours, with the exact schedule agreed during onboarding.
- Flexibility may occasionally be required to accommodate international clients, events, or specific project-related needs.
- The client may require agreed backup coverage during selected periods when he is traveling, attending meetings, or otherwise unavailable.
- Any recurring out-of-hours coverage or substantial schedule changes should be discussed and agreed upon in advance.
- Weekly priorities and workload should be reviewed regularly, particularly during the initial onboarding period.
Ideal Candidate Profile
The ideal candidate is trustworthy, dependable, proactive, organized, and comfortable working with a technically experienced client who values accuracy, professional standards, and practical results.
They should be able to take a clear brief, understand the desired outcome, plan the work, and deliver it without constant supervision. They should also recognize when to act independently and when to ask for approval or escalate an issue.
The candidate should:
- Demonstrate integrity, discretion, and respect for confidential information.
- Be detail-oriented, methodical, and consistent in their work.
- Take initiative while respecting agreed processes and decision-making boundaries.
- Communicate clearly and honestly about progress, delays, mistakes, and challenges.

- Bring ideas and alternative perspectives to the working relationship.
- Be comfortable working with a client who appreciates direct communication and British-style humor.
- Prefer a collaborative, accountable working relationship over constant supervision.
- Understand that quality, accuracy, and reliability are more important than simply completing tasks quickly.
Artificial Intelligence and Quality Standards
The client is open to AI-assisted brainstorming, outlining, and drafting where appropriate. However, the VA must not rely on AI to complete tasks without applying independent judgment, checking accuracy, and refining the result.
All deliverables must be reviewed before submission. The VA is expected to understand the material being produced, verify relevant facts, maintain the client's voice, and remove generic or inappropriate AI-generated content.
AI tools must never be used to process confidential client information without explicit authorization and an appropriate assessment of the tool's privacy and security arrangements.
Confidentiality and Access Security
The role requires careful handling of business, client, project, and learner information.
- Use individually assigned user accounts rather than sharing the client's personal passwords.
- Access only the systems and information necessary to perform assigned tasks.
- Follow the client's access permissions and security procedures.
- Keep client information confidential and do not disclose sensitive project details.
- Do not make unauthorized changes to systems, records, or communications.
- Escalate suspicious activity, access problems, or potential data-security concerns promptly.
- Follow the client's requirements for secure storage, communication, and handling of business information.

- Clear communication, professional discretion, and respect for agreed processes.
- The ability to work independently while maintaining alignment with the client's expectations.
- Continuous improvement in efficiency, quality, and the overall working relationship.
Onboarding and Growth Opportunities
The initial month will focus on familiarization, access setup, understanding the client's preferred working style, organizing existing materials, and establishing reliable workflows.
The VA will initially concentrate on LinkedIn content, inbox organization, and essential administrative support. Responsibilities can be expanded gradually as trust develops and business requirements become clearer.
The business anticipates potential growth as new B2B engagements, international projects, and training programs progress. The successful candidate may have the opportunity to develop into a broader operational and training support role over time.
To apply: Candidates should demonstrate relevant administrative and LinkedIn content experience, strong written English, attention to detail, independent working ability, and a commitment to confidentiality and quality. Examples of professional writing, content calendars, newsletters, or presentations would be beneficial where available.
Working Time Zone: UK time, with occasional flexibility for international client support
Engagement: Long-term potential, subject to performance and business requirements
