Role Overview

DXB Perfume is looking for an experienced and proactive Logistics & Supply Chain Coordinator to manage the movement of stock from international suppliers to our warehouses, retail locations and customers.

The successful candidate will coordinate suppliers, freight forwarders, customs agents and internal departments to ensure orders and shipments are delivered accurately, cost-effectively and on time. You will maintain project trackers, lead logistics meetings and ensure information and actions are communicated clearly across the business.

Key Responsibilities

• Coordinate international and domestic shipments by air, sea and road.
• Track orders from production and collection through customs clearance and final delivery.
• Maintain accurate project trackers covering production, shipments, deadlines, costs, risks and responsible team members.
• Follow up with suppliers and internal departments to ensure actions are completed on time.
• Lead regular logistics and supply-chain meetings.
• Prepare meeting agendas and provide clear updates on priorities, delays and outstanding actions.
• Record decisions, responsibilities and deadlines, and circulate meeting notes.
• Manage communication between Purchasing, Finance, Sales, Retail, E-commerce, Marketing and warehouse teamsd teams.
• Identify dependencies between departments and escalate delays or risks promptly.
• Coordinate freight forwarders, customs agents, warehouses and delivery partners.
• Check purchase orders, invoices, packing lists, bills of lading and airway bills.
• Coordinate customs documentation and clearance.
• Obtain and compare freight quotations.
• Monitor freight, duty, storage, delivery and demurrage costs.
• Provide accurate logistics costs for landed-cost calculations.
• Monitor stock in transit and support replenishment planning.
• Coordinate stock transfers and deliveries to warehouses, retail stores and customers.
• Manage retailer delivery bookings and specific delivery requirements.
• Investigate shipment delays, shortages, damages and documentation issues.
• Maintain supplier and logistics-partner performance records.
• Provide regular reports to senior management.

Skills and Experience

• Minimum four years’ relevant experience in logistics, freight forwarding, imports, exports or supply-chain coordination.
• Minimum 4 years working in Logistics for a multi national company.
• Proven experience managing international shipments by air, sea and road.
• Excellent written and verbal communication skills.
• Strong experience using project trackers and task-management systems.
• Confident leading meetings, assigning actions and following up with different departments.
• Able to manage cross-departmental communication and competing priorities.
• Good understanding of customs clearance and shipping documentation.
• Strong Excel or Google Sheets skills.
• Highly organised, accurate and proactive.
• Comfortable challenging delays and escalating problemsless where necessary.
• Experience with ERP, inventory, logistics or project-management systems.
• Experience in retail, wholesale, distribution, FMCG, beauty or consumer products is preferred.
