About DXB Perfume
DXB Perfume is a growing fragrance business operating across retail, e-commerce and distribution. We work with suppliers, brands, retailers and commercial partners across multiple international markets.
Role Overview
We are looking for a highly organised, commercially minded and assertive Business Operations & Project Manager to coordinate priority projects across purchasing, supply chain, product development, marketing, sales, retail, e-commerce, finance, HR and logistics.
The successful candidate will maintain the company-wide project tracker, attend relevant meetings, record actions and deadlines, follow up with managers, identify delays and provide clear updates to the CEO and senior leadership team.
This is a business operations role within a physical-product company. It is not primarily an IT, software-development, SaaS or technical project-management position.
Department managers will remain responsible for delivering their work. The Project Manager will ensure visibility, coordination, accountability and timely escalation.
Key Responsibilities
- Create and maintain a master tracker covering all approved company projects.
- Ensure projects have clear objectives, owners, deliverables, milestones, deadlines, budgets and success measures.
- Track project status, risks, issues, dependencies, overdue actions and forecast completion dates.
- Attend relevant project, departmental and cross-functional meetings.
- Record decisions, accountable owners and deadlines and circulate concise action notes.
- Hold regular progress check-ins with managers and obtain clear, evidence-based updates.
- Follow up consistently on overdue actions and establish recovery plans for delayed projects.
- Coordinate dependencies between departments, suppliers, agencies and other external partners.
- Provide the CEO with a concise weekly report covering progress, delays, risks and decisions required.
- Escalate repeated non-delivery, resource conflicts and material risks at an early stage.
- Turn leadership decisions into practical project plans and accountable actions.
- Lead selected cross-functional or special projects when appointed by the CEO.
- Review completed projects and assess whether they delivered the expected commercial or operational benefit.
Projects may include product launches, purchasing programmes, supplier onboarding, packaging development, marketing campaigns, store and kiosk openings, major retailer onboarding, exhibitions, logistics improvements and international expansion.
Essential Experience
- At least five years’ experience in business operations, commercial project management, PMO or cross-functional project management.
- At least three years’ direct experience within retail, e-commerce, distribution, FMCG, consumer goods, beauty, fragrance or another physical-product business.
- Experience managing multiple projects across different departments, countries or business units.
- Experience working within a multinational or multi-market company.
- Practical experience with physical products, suppliers, purchasing, inventory, logistics, product launches or retail operations.
- Strong project planning, risk management, dependency tracking and executive reporting skills.
- Strong commercial awareness, including budgets, resources, costs and business impact.
- Confidence following up with managers, challenging incomplete information and escalating delays.
- Strong knowledge of project-management software, Microsoft Teams and Excel.
- Excellent written and spoken English.
- Full availability and responsiveness during typical UK office hours.
Candidates whose experience is exclusively in software development, SaaS, IT infrastructure, Agile, Scrum or technical product management will not be suitable unless they also have substantial experience within a physical-product, retail, e-commerce or distribution business.
Desirable Experience
- Experience within fragrance, beauty, fashion or consumer products.
- Experience with product launches, retail openings, supply-chain projects or major customer rollouts.
- Experience establishing a company-wide project tracker or PMO function.
