SoftBank Robotics America (SBRA) is seeking a highly organized and technically capable Maintenance Planner to support the planning, scheduling, and coordination of preventive, predictive, and corrective maintenance activities across our equipment, automated systems, and operational assets.


The Maintenance Planner will serve as a key connection between maintenance, operations, engineering, procurement, vendors, and field teams ensuring maintenance work is properly scoped, prioritized, resourced, documented, and ready for execution. This role will help improve asset reliability, reduce unplanned downtime, and establish scalable maintenance practices as SBRA's operations and technology footprint continue to grow.


The ideal candidate combines strong maintenance planning fundamentals with technical aptitude, data-driven decision-making, and the ability to bring structure to a dynamic and evolving environment.


Key Responsibilities

Maintenance Planning & Scheduling

  • Plan and schedule preventive, predictive, and corrective maintenance activities based on asset criticality, operational priorities, equipment condition, and manufacturer recommendations.
  • Develop execution-ready work plans that clearly define scope, procedures, labor requirements, estimated hours, parts, materials, tools, technical documentation, and applicable safety requirements.
  • Review incoming work requests, determine planning requirements, and prioritize activities based on safety, asset criticality, operational impact, and resource availability.
  • Maintain short- and long-term maintenance schedules and coordinate planned downtime with operations and field teams.
  • Manage maintenance backlog and identify scheduling conflicts, resource constraints, material shortages, and other risks that could impact execution.
  • Track scheduled work through completion and adjust plans based on operational priorities and equipment needs.

Asset Reliability & Preventive Maintenance

  • Develop, maintain, and continuously improve preventive and predictive maintenance programs for existing and newly deployed equipment.
  • Review telematics and equipment data, maintenance history, downtime, recurring failures, technician feedback, and maintenance trends to identify maintenance needs, prioritize work, and support asset reliability and availability.
  • Partner with engineering, operations, and technical teams to establish maintenance strategies, intervals, procedures, and asset criticality.
  • Support asset availability and operational readiness objectives through effective maintenance planning, scheduling and resource coordination.
  • Help transition maintenance activities from reactive to increasingly proactive and condition-based practices where appropriate.

CMMS, Data & Performance Reporting

  • Maintain accurate asset records, work orders, preventive maintenance schedules, maintenance history, and supporting documentation within the CMMS/EAM or related systems.
  • Ensure work orders contain accurate scope, labor, material, scheduling, asset, and completion information.
  • Monitor and report maintenance performance metrics such as PM compliance, schedule adherence, backlog, equipment downtime, recurring failures, work-order completion, MTBF, and MTTR where applicable.
  • Maintain maintenance trackers, reports, dashboards, and planning documentation that provide clear visibility into maintenance performance and upcoming work.
  • Support data integrity, standardization, and continuous improvement of maintenance and asset records.

Parts, Materials & Vendor Coordination

  • Identify required spare parts, materials, tools, equipment, and external services before maintenance work is scheduled.
  • Coordinate with inventory, logistics, and vendors to ensure materials are available and staged for planned work.
  • Support development and maintenance of equipment Bills of Materials (BOMs), critical spare-parts lists, and recommended inventory levels.
  • Monitor parts availability, lead times, and potential supply risks that could affect equipment reliability or maintenance schedules.
  • Coordinate work performed by contractors, OEMs, service providers, and other external partners as needed.
  • Maintain applicable vendor, warranty, service, equipment, and maintenance documentation.

Safety & Technical Documentation

  • Incorporate applicable safety requirements into maintenance work plans, including Lockout/Tagout (LOTO), PPE, permits, JHA/JSA, and site-specific requirements.
  • Review equipment manuals, drawings, schematics, P&IDs, BOMs, OEM documentation, and other technical information when developing maintenance plans.
  • Ensure planned work complies with company safety standards, manufacturer requirements, and applicable site procedures.
  • Partner with maintenance and field personnel to continuously improve the safety, clarity, and effectiveness of work plans.

Cross-Functional Collaboration & Continuous Improvement

  • Partner with operations, engineering, procurement, logistics, field teams, and other stakeholders to align maintenance activities with business and operational priorities.
  • Communicate planned downtime, equipment availability, maintenance schedules, backlog priorities, and potential risks to appropriate stakeholders.
  • Participate in maintenance planning and scheduling meetings and provide visibility into upcoming work and resource requirements.
  • Review completed work orders and technician feedback to improve future job plans, estimated labor hours, procedures, and material requirements.
  • Identify opportunities to reduce repeat failures, maintenance delays, unnecessary downtime, and inefficient work processes.
  • Support the development of scalable maintenance procedures, standards, workflows, and best practices as SBRA's operations grow.
Requirements

Required:

  • 5-7 years of experience in maintenance planning, maintenance coordination, reliability, asset management, field service, facilities, industrial maintenance, or a related technical environment.
  • Experience planning preventive and corrective maintenance for mechanical, electrical, industrial, automated, facilities, construction, or other technical equipment.
  • Hands-on experience using a Computerized Maintenance Management System (CMMS), Enterprise Asset Management (EAM), or similar work-order management platform.
  • Strong understanding of maintenance planning fundamentals, including work-order planning, PM scheduling, backlog management, labor planning, and parts/material coordination.
  • Ability to interpret equipment manuals, technical documentation, drawings, schematics, or similar technical information.
  • Strong organizational and prioritization skills with the ability to coordinate multiple workstreams and stakeholders.
  • Strong Excel and data-management skills with the ability to track, analyze, and report maintenance information.
  • Strong written and verbal communication skills.
  • Ability to work effectively in a dynamic environment where priorities, processes, and operational requirements may evolve.

Preferred:

  • Experience supporting robotics, automation, industrial equipment, advanced manufacturing, construction equipment, logistics/warehouse automation, data centers, or other asset-intensive environments.
  • Experience with CMMS/EAM platforms such as IBM Maximo, SAP PM, Fiix, eMaint, or similar systems. Experience with construction project management, ERP, reporting, data analytics, or business intelligence platforms is preferred.
  • Experience with equipment commissioning, asset onboarding, or developing maintenance programs for newly deployed equipment.
  • Experience with spare-parts planning, BOM development, MRO inventory, procurement, and vendor management.
  • Familiarity with maintenance KPIs, root-cause analysis, continuous improvement, and reliability metrics.
  • Technical degree, trade certification, maintenance/reliability certification, or equivalent technical training is preferred but not required.


Ideal Candidate Profile

The ideal candidate is an experienced maintenance planner who understands that effective maintenance begins before a technician arrives at the equipment. They can translate maintenance requirements into clear, execution-ready work plans; anticipate labor, parts, tools, safety, and technical requirements; and coordinate across multiple teams to ensure work can be completed efficiently.


They are technically curious, highly organized, and comfortable working with both equipment information and operational data. They understand the relationship between maintenance planning, equipment reliability, operational uptime, and cost.


Experience supporting complex physical technology such as robotics, automation, industrial equipment, advanced manufacturing systems, construction equipment, or other technology-enabled assets is particularly valuable.


Most importantly, this individual is comfortable operating in a growing environment where processes may still be developing. They can bring structure without creating unnecessary complexity, identify opportunities for improvement, and help build maintenance practices that scale with the organization.


Work Environment

Remote work environment travel is based on business and operational requirements.


Regular collaboration with operations, engineering, procurement, logistics, field teams, maintenance personnel, vendors, and other cross-functional stakeholders.


Travel approximately 2-3 times per quarter to operational locations, customer sites, construction sites, warehouses, or other facilities to collaborate with operations teams, understand equipment and asset conditions, and support effective maintenance planning.


Must be comfortable entering active industrial, construction, equipment, or technical environments and following applicable site safety requirements.


Occasional coordination outside normal business hours may be required to support critical maintenance activities or operational needs.


What Success Looks Like

Success in this role means maintenance work is planned rather than reacted to. Work orders are clear and execution-ready, preventive maintenance is completed on schedule, required parts and resources are available before work begins, maintenance backlogs are visible and prioritized, and operational teams have clear visibility into equipment availability and planned downtime.

Over time, the Maintenance Planner will help SBRA build a more proactive, data-driven maintenance organization that improves asset reliability, reduces unplanned downtime, increases maintenance efficiency, and supports the continued growth of robotics and automation operations.
