Job Description

The Manager, Financial Operations provides financial operations support for evidence generation studies, including budget tracking, purchase order and invoice coordination, reconciliation support, variance monitoring, payment follow-up, and audit-ready documentation. The role helps ensure financial activities are accurate, timely, traceable, and aligned with approved contracts, study milestones, forecasts, and governance requirements. The role also supports the appropriate use of approved digital, automation, and AI-enabled tools to improve tracking, reporting, and operational efficiency.

About the Role

The Manager, Financial Operations maintains the day-to-day financial operations required to support the Global Medical Evidence Generation portfolio. Working across Study Operations, Global Evidence Generation, Finance, Procurement, Legal, vendors, and study owners, the role coordinates purchase order and invoice workflows, maintains reliable financial records, monitors open items, and escalates exceptions to the appropriate owner. The role contributes to consistent, scalable, and compliant ways of working while preserving appropriate human review and decision authority.

How You Will Contribute

  • Maintain budget trackers and dashboards with planned spend, vendor, purchase order, invoice, payment, milestone, variance, and open-issue information.
  • Prepare or update purchase order request packages using approved study budget assumptions, expected spend profiles, contract terms, and milestone information.
  • Route purchase order and invoice packages through the appropriate reviewers, approvers, Finance, and Procurement stakeholders.
  • Track purchase order issuance, invoice receipt, payment status, outstanding approvals, and unresolved issues through closure.
  • Reconcile invoices against purchase order values, approved scope, contract terms, expected study activity, and documented milestones.
  • Maintain complete, accurate, and audit-ready budget, purchase order, invoice, approval, reconciliation, and issue-resolution records in designated repositories.
  • Support reporting on open purchase orders, overdue invoices, payment risks, budget variances, forecast changes, and financial operations backlog.
  • Escalate budget variances, scope changes, invoice mismatches, payment delays, approval exceptions, and documentation gaps to the appropriate owner.
  • Partner with Finance, Procurement, Legal, vendors, Study Operations, and Global Evidence Generation to resolve routing, documentation, and payment issues.
  • Support process improvements that reduce cycle-time delays, rework, and documentation inconsistencies.
  • Use approved digital, automation, and AI-enabled capabilities, where appropriate, to support financial tracking, exception identification, and reporting while maintaining validation, traceability, data privacy, and human oversight.

Qualifications

  • A degree in business, finance, operations, pharmacy, public health, health economics, life sciences, or a related discipline is required.
  • More than 5+ years of relevant work experience and biopharmaceutical industry experience are preferred.
  • Experience in study finance operations, procurement operations, clinical or study operations, evidence generation operations, vendor payments, or Medical Affairs operations in a regulated environment.
  • Working knowledge of study budgets and forecasts, purchase orders, invoices, contracts, payment milestones, reconciliation, variance tracking, and approval routing.
  • Ability to maintain accurate trackers, dashboards, documentation packages, and audit-ready financial records.
  • Strong attention to detail and the ability to coordinate across Finance, Procurement, Legal, vendors, and global study owners.
  • Familiarity with ERP, procurement, finance, vendor payment, evidence generation, or document management systems.
  • Comfort using approved automation and AI-enabled tools for defined financial operations activities, with appropriate judgment regarding accuracy, privacy, traceability, and escalation.
