Job Title: Marketing Coordinator

Job Type: Permanent, Full-Time

Job Location: Ottawa, ON (18 Auriga Drive)

Work Model: Hybrid

Job Status: Existing Vacancy

Position Summary

The Marketing Coordinator keeps work moving across every account we run. This role owns the day-to-day mechanics of getting campaigns out the door — intake, timelines, task setup, asset collection and approvals — so designers, writers and paid media have what they need before deadlines get tight. It's the connection point between our team and our partners: chasing details, confirming decisions, flagging risk early and making sure nothing gets lost between a meeting and a launch. It's a fit for someone organized and persistent who knows enough about how marketing works to ask the right questions, not just move tasks along.

Responsibilities

  • Run project intake — collect requirements from partners and internal stakeholders and turn them into briefs the team can work from
  • Build and maintain timelines across concurrent campaigns, and flag conflicts or slipped dates before they become problems
  • Set up and maintain tasks in our project management tool with the detail each discipline actually needs
  • Chase assets, copy, approvals and sign-offs from partners and keep track of versions
  • Own meeting logistics and notes — agendas, action items, owners, due dates and follow-up
  • Support campaign launches with pre-flight checks: links, tracking parameters, proofs and deployment checklists
  • Keep status current for internal stand-ups and partner check-ins, and pull campaign numbers for recaps
  • Maintain campaign calendars, shared files and process documentation
  • Coordinate with vendors, print and media partners on deliverables and deadlines

Mandatory Qualifications

  • Legally eligible to work in Canada
  • Fluent in English (speak, read, write)
  • Ability to travel approx. 1 week/year

Minimum Qualifications

  • Post-secondary education in marketing, communications, business or a related field
  • Working knowledge of:
    • How marketing campaigns are planned, produced and measured
    • Creative production workflows across design, copy, web and paid media
    • Email and SMS deployment basics, including approvals and testing
    • Project management tools (Wrike, Asana, Monday, Jira or similar)
    • Microsoft O365 experience
  • Clear, professional writing for briefs, meeting notes and partner-facing email
  • Ability to coordinate several projects at once, keep details straight and follow up without being asked
  • Comfort working with external stakeholders and holding them to deadlines

Preferred Qualifications

  • Fluent in French (speak, read, write)
  • 2+ years coordinating marketing work for external clients or partners
  • Hands-on experience with a CMS or email platform (Webflow, Shopify, WordPress, Klaviyo or similar)
  • Experience in professional sports, charitable fundraising, or lottery and gaming
  • Experience building and running intake, approval and QA processes
  • Comfort pulling campaign performance data and assembling recap reporting
  • Experience coordinating regulated or compliance-sensitive marketing
  • Experience with design, web or paid social campaign management
